1: Chair’s welcome:

It was noted with regret that no members of the club had attended the AGM this year.

2: Apologies for absence:

4: Chair’s Report: Season 2019-20: Derek Burton

• Committee: In order for the club to continue to function effectively succession planning for the committee is essential. Deborah wishes to step down from her role as membership secretary this year and Chris would like to hand over organisation of the ladies team.

• Mike Humphrey-Davis has kindly agreed to take over the role of Chair at the end of the year. Both the roles of secretary and treasurer will need to be addressed in the future. The support of club members in the running of the club is needed to ensure its survival.

• Derek thanked Deborah for all her hard work in setting up ClubSpark. In the absence of a membership secretary it may be necessary for all members to renew their subscriptions on line. Incoming emails need to be checked and Derek has agreed to assist with this task.

• It was agreed that the membership should be emailed setting out the severity of the situation.

• All four courts are in good condition and well used especially on Monday and Friday mornings. Saturday afternoons are less popular.

• The Fulbourn Feast attracted some interest to the courts.

• Coaching for the junior members has been most successful.

• The incidence of vandalism has decreased with the provision of CCTV.

5: Club facilities & maintenance: Derek Burton

• Court three has recently been re-sanded and a visit from RePlay has confirmed that the courts are in good condition.

• The contract with RePlay over five years continues with two annual visits in April and October. Justin of Furnleaf Landscapes has a contract to provide general maintenance of the whole area, in particular weeding of all court areas and leaf clearance.

• The floodlights appear to be good working order.

• New nets and posts have been provided on courts one and two and a stronger padlock put on the main gate.

6: Treasurer’s Report: Steve Collis

• Steve presented the annual financial report. This is available to any member who wishes to see it. Steve thanked Alan Kindred for doing the club accounts.

• There will be no increase in the subscriptions this season.

7: Membership: Deborah Girling

• There has been a decline in total membership. 2019: 113.  2018: 128.  2017:138

• Membership breakdown:

• Adult (£90): 68  -an increase of 5 this season

• Young adult (£45): 1

• Family (£200): 10

• Junior (£15): 16

• 13 members paid for a visitor to play.

• Children attending coaching will now be asked to pay an annual fee of £15.

• Despite our excellent facilities we still struggle to attract new members. This could be because we have a lot of local competition.

8: Coaching: Olly Halliwell: Over & In

• Junior coaching is offered on Wednesday and Friday evenings and Saturday mornings. A new session will be offered to Fulbourn Primary School on Wednesday afternoons.

• From September there will be an additional coach employed who will probably be working at Fulbourn.

• Details of coaching will be put on the Fulbourn Facebook page.

• Coaching is also available for teams and adults.

9: Matches: Chris McMullen

• The club entered one ladies team last summer. They played in division five and came sixth out of seven teams.

• We had two friendly matches with Milton which were very enjoyable.

• Matt provided coaching for the team which was very well received.

• The men played in the summer league division six and had some close matches but no wins

• The men’s winter league team had some good matches and came fifth out of seven teams.

• This year the club will be entering one ladies team, one men’s team, one mixed team and a mens and ladies Grays Cup team.

10: Institute matters: Chris McMullen

• Chris represents the club at the Recreation Ground meetings.

• Work has been done last year to improves facilities and these will continue this year.

• Members are encouraged to join the Institute at an annual cost of £12.

• Flood light tokens are available from the bar.

• The club will hold the Open Day on the same day as the Fulbourn feast.

11: Hills Road Tennis: Karin Olley

• Karin kindly arranges these sessions so that members can play indoors during the winter at Hills Road Tennis Centre on a Sunday morning.

• These are most enjoyable sessions but more support would be welcome.

Dates for these sessiosn will be circulated later in the year.

12: LTA Matters: Ann Burton

• The club is a fully registered LTA venue.

• Annual risk assessment and registration is required in order to comply with the requirements of our insurance policy.

• Ann Burton is the club’s welfare officer.

• All required policies are in place. These can be viewed on the website.

• In October the club had an LTA inspection which was successful.

• Members of the committee attend local LTA meetings and the LTA AGM.

13: Wimbledon Ballot: Ann Burton

• Ticket allocation is based on the number of members who are British Tennis members and have opted in for inclusion in the draw.

• Last year we had nine pairs of tickets.

• Number of members eligible to opt in: 118, number who have 53.

• This year the club will again use the on line ballot.

• Members are requested to respond to the email offering them a ticket promptly.

14: Any other business

• The new tennis season will start on April 1st

• The date of the next AGM is: Monday March 1st: 2021
