EGM 10/12/17

An EGM took place at the clubhouse on 10th December 2017 to vote on three items. Please click HERE for the minutes

1)      ELTC President  

Since 2013 we have not had a President. The President is an honorary position which reflects the officeholder’s position in the community and the service they have provided to ELTC over the years. The Committee have asked Elisabeth Small if she would be willing to become President for five years and she has accepted. Elisabeth has served the Club in many capacities for many years including 9½ years as Secretary.  We would like the members to ratify Elisabeth’s appointment as required by our rules.

2)      Club Rules and CASC Status

In order to retain our CASC (Community Amateur Sports Club) status, HMRC require us to make a minor change to our rules.  Having CASC status gives us an advantage in terms of tax and it is necessary for the club to make an amendment to clause 4.1 of its rules (Application of surplus funds) by adding the words “or third parties” to the end of that clause.  This is to prevent distributions to third parties during the continuance of the club – it already prevents distributions to members.

4.1              The Club is a non-profit making organisation. Subject to Rule 26.3, the income and property of the Club shall be applied solely towards promoting the Club's objects as set forth in these Rules. No portion thereof shall be paid or transferred, directly or indirectly, to the Members of the Club or third parties.

3)      Clay Courts 

You will be aware that courts 2-4 have been renewed as hard courts and floodlighting installed on courts 3 and 4. We are very grateful to Bob Taylor for his work in ensuring the success of this development project.

It is now proposed that these courts are converted to an artificial clay surface, which will provide all-weather play and be kinder to knees and legs. The total cost of converting the three courts is around £50,000. You will have seen the proposal that the Club raise this sum from members on an unsecured and interest-free basis in return for a rebate on the lenders’ membership dues. A summary of these proposals is attached.

Under the Club’s current Rules, we are limited to borrowings of £100,000. This limit has been reached with the £100,000 loan from the LTA for the Court Development programme, which means that we must increase this limit, if we are to raise further borrowings.

The Committee propose that the borrowing limit in Rule 23.1 be increased from £100,000 to £200,000 with immediate effect.
