Tattenhall Tennis Club

 

Minutes of the AGM Wednesday 28th March 2018

 

 

 

Present: Mark Shepherd Chairman, Helen Rideal  Treasurer, Jane Roberts secretary, Rhoyda Bell,  Berin Amis coach,  Dave Thomson,  Ann Thomson , Cathy Spraggs,  Jenny Haughton   Fiona Midwood,  Pauline Cawthorn.

 

Apologies:   Steve Thomas,  George & Jane Richards,  Jackie & Gordon Laurie, Val & Brian Meeks, Chris Parott.

 

Minutes of AGM February 2017 these were circulated in advance and approved at the meeting

 

Election of Officers 2018:

MS has stepped down as Chairman – there is no direct replacement, but all members present offer to support the club and contribute it’s smooth running.  A vote of thanks for all his hard work was given to Mark.

HR was re-elected as treasurer and JR was re-elected as secretary.

JR will continue as Ladies Captain.

MS will take on the responsibility of junior coordinator and welfare officer. He will, accordingly, attend an LTA safeguarding course. MS to action

The responsibly of social secretary will continue be taken by a group comprising AT, DT, RB, VM and CS. They will also liaise with FM whom has agreed to continue help out with marketing.

 

 

Chairman’s report:  

MS. Thanked HR and JR for the work done in their respective roles and, together with VM for attending central club meetings. He thanked all who have volunteered and undertaken ground maintenance, all who have been involved in fundraising events, generous donation of loans, and specifically Eric Enson who has donated new net posts.

He spoke optimistically about the future of the club with the wonderful new courts, and the junior section which he co-ordinates with BA.

 

 

 

 

 

Treasurers Report:

HR presented the accounts, and reported a balance of £2539.24 . It has ben a successful year for fundraising and she stressed the importance of continuing this into 2018. A gazebo has been purchased with a donation from Redrow homes, and we have £200 to spend on a wooden bench. HR has sourced a nice one in Bellis and approval was given to go ahead to purchase this. HR to action. We will no longer collect old tennis balls for recycling – only good condition balls are now accepted which defeats the object! The bin will be removed from the hallway HR and CS to action.

HR reported that she has registered TTC  on easyfundraising.org. By using this portal for online purchases – a donation is made to the club at  no extra cost. It was agreed to adopt this, HR to action by putting up poster and on website.

Secretary’s Report:

JR reported that she has updated and posted protocols for Safeguarding , Diversity & Inclusion, Welfare and Whistleblowing on the website, in accordance with LTA standards. A statement of Safeguarding is also posted in the noticeboard.

We have been allocated 4 pairs of tickets for Wimbledon. JR has emailed all those who opted in for the ballot and any member wanting tickets should let her know asap. Action all opted in members

 

Ladies Team Report:

JR reported that no team was entered into the league last year due to lack of availability. As it turned out -  the resurfacing would have made fixtures tricky to arrange. A team has been entered this year in division 3 of CADSTL and a fixture list and teams circulated to players. All female members are welcome to represent the club in matches, if they wish. JR to action.

 

 

Coaching Report:

BA reported a difficult year –  a combination of factors:  his assistant Damian left, courts out of action during resurfacing and dreadful winter weather.

Junior Holiday Camps and autumn coaching were successful.

Cardio tennis was very popular, as was a ladies Tuesday morning group.

He spoke enthusiastically about the forthcoming season – with some juniors planning on transferring to Tattenhall from Hoole.

Proposals for the year include:

  • Friday night Junior club night with 3 age sections 4-8pm
  • Challenger matches for juniors
  • Tots sessions 4-4.30 0n Fridays
  • Junior Holiday Camps – Easter and Summer
  • Family tournament May BH weekend
  • Adult Thursday evening Cardio tennis 7.30 – 8.30
  • Adult Wednesday morning coaching starting 18th April 9.30-10.30 
  • Friday evening beginners 8pm

 

 

Marketing:  

We will continue to promote the club on the website, Tattenhall online , Village News and posters in schools. FM, HR, JR to action

 

 

Social Events, Proposed Fundraising & Tournaments:

The social committee reported successful events: games night, country & western and jumble sale. The latter was particularly lucrative.

The open day was a great success for raising the profile of the club and celebrating the new courts. Tournaments and Friday ay the Flacca are great social events and sources of income. 

Proposals for 2018-9 include:

  • Jumble Sale – Autumn or June . HR to action
  • Summer BBQ and Band - Social committee and MS to action
  • Friday at the Flacca – to coordinate with a junior coaching event MS and BA to action
  • Christmas or NYE event - Social committee to action
  • Cricket Club Beer Festival, BH weekend Sunday May 27th . To open up courts and promote family tennis - MS, BA and members to action
  • Club tournaments – social mixed doubles Start of Season and Wimbledon. Social committee to action

 

 

Court Maintenance:

JR discussed a cold call proposal from multisurface cleaners – this was declined.

The need for regular clearing of leaves, weed killing, grass cutting  & fence maintenance was agreed.  DT  and MS to action with other members

 

 

AOB: 

CS  presented the Cricket club beer festival and the suggestion to “open  up” the tennis courts on the Sunday. This was viewed with enthusiasm and we will incorporate the family tennis day.
