Terms and Conditions

1. Introduction

 

These Terms and Conditions govern the provision of tennis coaching services by CKTennisCoaching at Heaton Mersey Tennis Club. By booking or attending tennis lessons, you agree to be bound by these terms.

 

2. Booking and Payment

• Booking: All coaching sessions must be booked in advance through ClubSpark, our online booking and payment platform. Bookings can be made via the CKTennisCoaching ClubSpark website

• Payment: Payment for tennis lessons is processed through ClubSpark at the time of booking. Accepted payment methods include credit/debit card, PayPal, or other methods available through the ClubSpark platform. Payment must be made in full before or at the time of the lesson.

• Pricing: The price for lessons and packages is outlined on the ClubSpark platform or available upon request. Pricing may change at any time with prior notice. Any changes will be communicated to clients via email or on the ClubSpark system.

 

3. Lesson Duration

• Lesson Duration: All coaching sessions are 60 minutes in length.

• Punctuality: Clients are encouraged to arrive on time for lessons. If a client arrives late, the session will end at the scheduled time, and the full fee will apply. To avoid disruptions, lessons may be held across any of the Club’s 4 courts.

• Collection of Children: Parents or guardians are responsible for ensuring they are on time to collect their children at the end of the lesson. If a child is walking home after the session, parents must provide written confirmation, either in person or by message, giving consent for their child to leave unaccompanied.

 

4. Cancellations and Rescheduling

• 24-Hour Notice: Clients must provide at least 24 hours’ notice if they need to cancel or reschedule a lesson. Lessons cancelled with less than 24 hours’ notice will incur a full charge, unless there are exceptional circumstances.

• No Shows: Failure to show up for a scheduled lesson without prior notice will result in a charge for the full lesson.

• Weather and Court Conditions: In case of inclement weather or poor court conditions, the Coach reserves the right to cancel or reschedule lessons. In such cases, Clients will be offered an alternative time or a refund.

 

5. Refunds and Credits

• Refunds: Refunds will only be issued if a lesson is cancelled by the Coach or if the Client has cancelled with more than 24 hours’ notice.

• Credits: If a lesson is missed or cancelled outside of the specified cancellation window, the Client may be offered a credit for a future lesson, subject to availability.

 

6. Liability and Safety

• Liability: The Coach will not be held responsible for any injuries or accidents that occur during a lesson, as long as proper safety protocols are followed.

• Medical Conditions: Clients are responsible for informing the Coach of any pre-existing medical conditions that may affect participation in tennis lessons.

• Appropriate Conduct: Clients must respect the Club’s rules and follow all instructions from the Coach and Club staff for safety and proper court etiquette.

 

7. Court Allocation and Facility Use

• Court Availability: Lessons will take place on any of the Club’s 4 courts, depending on availability. The Coach will ensure that appropriate court space is reserved for lessons. The Club’s management has the right to adjust court assignments as necessary.

• Facility Use: Clients must adhere to the Club’s facility rules, including proper footwear, attire, and equipment for use on the courts. Personal items should be kept to a minimum, and the Club is not responsible for any lost or stolen items.

 

8. Behaviour and Etiquette

• Conduct: Clients are expected to behave respectfully towards the Coach, fellow players, and other members of the Club. Disruptive or inappropriate behaviour may result in the termination of services with no refund.

• Etiquette: All players should follow basic tennis etiquette, including arriving on time, respecting other players’ space, and maintaining a positive atmosphere on the court.

 

9. Confidentiality and Data Protection

• Personal Information: Any personal information shared with the Coach or Club will be used solely for the purpose of providing tennis coaching services and will not be shared with third parties without consent, except where required by law.

• Data Storage: The Coach and Club will comply with applicable privacy laws in handling personal data, and clients may request access to their data upon reasonable notice.

 

10. Amendments to Terms and Conditions

• Right to Amend: CKTennisCoaching reserves the right to amend these Terms and Conditions at any time. Any changes will be communicated to clients via email or through updates on the ClubSpark platform. Continued use of coaching services constitutes acceptance of these changes.

 

11. Governing Law

• These Terms and Conditions are governed by and construed in accordance with the laws of the United Kingdom, and any disputes arising from or in connection with this Agreement will be subject to the exclusive jurisdiction of the courts in England and Wales.

12. Photography Consent

By enrolling your child in our tennis coaching sessions, you consent to your child being photographed or filmed during the session for promotional or educational purposes. This includes photos for social media, marketing materials, websites, or other publications related to our tennis programmes.

If you do not consent to photography, please inform us in writing prior to the start of the session.

13. Use of Images

All photographs and videos taken during the sessions may be used for the purposes of promoting the tennis coaching services, including but not limited to social media posts, brochures, advertisements, and website content.

No personal information (other than your child’s first name) will be shared in connection with any images unless explicit consent is obtained.

14. Toilet Assistance

 

• Toilet Breaks: During lessons, children may need to take toilet breaks. The coach will not be able to assist children with going to the toilet. Children should be aware of the need to ask for a break if required.
• Supervision: While the coach is responsible for the safety and well-being of the child on the court, parents or guardians are responsible for ensuring that their child is capable of managing toilet breaks independently during lessons. The coach will not leave the court to accompany children to the toilet.
