Security and CCTV Policy
Our CCTV was first installed on the 4th Dec 2024. Three cameras covers the main gate, the far end emergency gate and courts 1, 2 and 3. Our CCTV Policy is below.
Colden Common Tennis Club CCTV Policy
1. Purpose
This CCTV Policy outlines the principles and practices for the use of closed-circuit television (CCTV) systems at Colden Common Tennis Club. The purpose of this policy is to ensure that CCTV systems are used responsibly and in compliance with applicable laws and regulations to achieve the following objectives:
• Enhance security and safety.
• Prevent and detect crime.
• Protect organisational assets.
• Support the well-being of members and their guests.
2. Scope
This policy applies to all CCTV systems operated by Colden Common Tennis Club, including:
• Fixed and mobile cameras installed on the premises.
• Areas monitored, such as entrances, exits, parking areas and other common spaces.
• Individuals, including members, contractors, visitors, and members of the public, who may be recorded.
CCTV cameras will not be installed in areas where individuals have a reasonable expectation of privacy, such as restrooms or changing rooms.
3. Legal Basis
The operation of CCTV systems at Colden Common Tennis Club complies with the following laws and regulations:
• Data Protection Act 2018.
• General Data Protection Regulation (UK GDPR).
• Surveillance Camera Code of Practice 2013.
4. Ownership and Responsibility
The CCTV system is owned and managed by Colden Common Tennis Club. Responsibilities include:
• Ensuring compliance with this policy.
• Authorizing access to recorded footage.
• Maintaining the integrity and security of the system.
5. Notification and Signage
Appropriate signage will be displayed in areas where CCTV is operational, informing individuals of:
• The use of CCTV.
• The purpose of monitoring.
• Contact details for enquiries.
6. Data Storage and Retention
• Recorded footage will be stored securely and accessible only to authorised personnel.
• Data will be retained for a maximum of 30 days unless required for investigations or legal proceedings.
• After the retention period, footage will be permanently deleted or destroyed in a secure manner.
7. Access and Disclosure
Access to recorded footage is restricted to:
• Authorised personnel for legitimate purposes.
• Law enforcement or regulatory authorities upon formal request.
Requests for access by individuals to their personal data in CCTV footage will be handled in accordance with GDPR subject access request rights.
8. Monitoring and Review
• CCTV systems will be monitored in real-time only when necessary.
• Regular audits and reviews will be conducted to ensure compliance with this policy.
• This policy will be reviewed annually and updated as required.
9. Data Subject Rights
Individuals have the following rights:
• To request access to their personal data recorded by the CCTV system.
• To raise concerns about the use of CCTV systems.
Complaints or requests can be directed to the Chairman of Colden Common Tennis Club.
10. Security Measures
• CCTV systems will be protected through password protection and other security measures.
• Physical security measures will be implemented to prevent unauthorised access to cameras and recording equipment.
11. Policy Violations
Unauthorised use or misuse of the CCTV system may result in disciplinary action, including termination of employment or legal proceedings.
12. Approval and Review
This policy was approved by The Committee on 12/01/2025 It will be reviewed on 12/01/2026.
