This privacy policy sets out how Goodworth Clatford Tennis Club (GCTC) uses and protects any information that you give us when you use this website. 

GCTC is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, you can be assured that it will only be used in accordance with this privacy statement. 

GCTC may change this policy from time to time by updating this page. You should therefore check this page from time to time to ensure that you are happy with any changes.

What we Collect:

We may collect the following information: 

  • Name.
  • Contact information such as postcode, telephone number(s) and e-mail address.
  • Other information relevant to your tennis club membership.

What do we do with the Information we gather:

We require this information to understand your needs and provide you with a better service; in particular, for the following reasons: 

  • To process the renewal of your tennis club membership and provide details of change of court access code.  
  • To provide information regarding club events such as tournaments, coaching and social events, Wimbledon Ballot entry etc.

GCTC uses Clubspark (Sports Technology Ltd) to administer on-line its membership, court bookings and correspondence.  In this capacity, Clupspark  act as the Club’s Administrator for General Data Protection Regulation (GDPR) purposes.

Controlling Your Personal Information. 

We do not share your details with any third parties. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties eg. Coaching available locally which we think you may find interesting if you tell us that you wish this to happen.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.

How do we Protect Your Information?

Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems and are required to keep the information confidential.

How Long Your Information is Kept 

We keep your personal data only for as long as necessary for each purpose we use it. For most membership data, this means we retain it for so long as you have a valid venue membership and for a period of six years after your last interaction with us (for accounting, tax reporting and record-keeping purposes).

Your Rights 

Under certain circumstances, by law you have the right to: 

  • Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it. 
  • Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected. 
  • Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have exercised your right to object to processing (see below). 
  • Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal data for direct marketing purposes. 
  • Request the restriction of processing of your personal data. This enables you to ask us to suspend the processing of personal data about you, for example if you want us to establish its accuracy or the reason for processing it.  You can also withdraw your consent, where this is the basis for our processing your data (without affecting the lawfulness of our previous processing based on consent). 
  • Request the transfer of your personal data to another party. 

Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply.

By submitting your personal information to us, you signify your consent to our using the information provided above in the ways stated.  If we amend our privacy policy it will be published on this website. If at any time you wish to update the information which we hold about you, or if you wish to stop receiving information from GCTC, please update your privacy consent settings on your Clubspark account accordingly.
