Terms and Conditions

The below document outlines the terms and conditions for KT’s Tennis (info@ktstennis.co.uk) and apply to all activities arranged by the company. Your participation in our activities implies acceptance of the below terms and conditions.

 

Course bookings:

  1. All course bookings must be made in advance via our online booking platform (https://clubspark.lta.org.uk/katytaylorcoaching).
  2. Full payment must be made before attending the first session of a course.
  3. All courses are subject to availability and are capped appropriately for the amount of court space and coach availability.
  4. Priority booking may be given to those who have been previously registered on a course.
  5. It is the responsibility of the person making the booking to ensure they are aware of the full details of the course (timing, start/finish date, location etc).
  6. Adult sessions are bookable on a weekly basis so there is no guarantee of continued availability. Please book early to avoid disappointment.
  7. We reserve the right to refuse a booking on an inappropriate level/age course. The decision is at the discretion of our coaches.
  8. Clothing - please wear appropriate sports clothing and footwear when attending a session and bring a drink.
  9. You must notify us of any medial condition, allergy or special needs that the participant has prior to them attending their first session (email info@ktstennis.co.uk). We will keep this information confidential.
  10. From time to time we may take photos/digital media during sessions and use them for promotional material including but not limited to online and social media channels. If you do not want the participant featured you must let us know prior to their first session (email info@ktstennis.co.uk).

 

Individual lesson booking:

  1. Individual lessons can be arranged with one of our coaches but are subject to their availability around existing commitments.
  2. All payments must be paid directly to the coach prior to the start of the session.
  3. Cancellations must be made directly to the coach a minimum of 24 hours before the start of the lesson or the full lesson fee will be chargeable.

 

Cancellation policy:

Participant cancellations:

  1. All cancellations must be made in writing to info@ktstennis.co.uk a minimum of 7 days before the start of the course. If this notice period is adhered to then a full refund will be given minus a £10 administration fee. No refunds will be given with less than 7 days notice.
  2. We reserve the right to cancel a course (with no less than 7 days notice), in this circumstance an alternative will be offered or a full refund issued.
  3. It is possible to change course days/times subject to availability and suitability of the participant for the course they want to be moved to.
  4. Non-attendance of a session or course will not be given a refund or credit on either junior or adult courses.

KT’s Tennis cancellations:

  1. We reserve the right to cancel any sessions should there be insufficient numbers to make it viable. We will always offer an alternative where possible or issue a full refund.
  2. In bad weather sessions will go ahead unless to courts are deemed completely unplayable and we have no access to an alternative indoor space for play or for off-court learning. Therefore, please bring appropriate protection for inclement weather.
  3. We will notify you by text of any lessons which have to be cancelled at least 30 minutes prior to the start of the session where possible.
  4. Sessions cancelled due to unplayable weather conditions will be given a credit to use against the next term/holiday camp booking fees.
  5. If a session is more than half way through when weather stops play it is counted as a completed lesson.
  6. Though extremely rare, if a child (or their parent/carer) becomes disruptive to the positive coaching environment at KT’s Tennis, we reserve the right to refuse further participation/attendance at our coaching venue.

 

Child Protection:

  1. We as a coaching provider working with children and vulnerable adults have a duty to respond if any child/adult left in our care is suspected to be a victim of abuse of any kind; or if they have made a disclosure to us about mental illness or self-harm. In this event we will follow procedure and document and report to the clubs Welfare officer and/or the LTA safeguarding team.
  2. Toilet breaks - Although we have toilet facilities in the clubhouse on site next to the courts please ensure that your child has used the facilities before attending their session. Children over the age of 10 will be allowed to leave court and use the facilities by themselves, for children under this age if we have an assistant coach or leader available they will be accompanied to the clubhouse entrance and returned to court. Should another coach or leader be unavailable we would allow another child/parent to accompany them. We do not accept responsibility for children who are not on the tennis court under direct supervision of a coach. If you are unhappy with this procedure the parent/carer will need to remain on site to accompany the child to the toilet if required.

 

First Aid:

  1. Should any accident or medical incident occur whilst in our care, first aid will be administered by our qualified first-aiders and the emergency services may be contacted if necessary.
  2. If the participant has any pre-existing medical needs it is your responsibility to notify us prior to the start of their first session.
  3. Should any accident or medical issue occur we will notify the parent as soon as reasonably possible.

 

Damage, loss/injury:

  1. Any damage caused to property whilst on a KT’s Tennis activity is chargeable to the offender/s.
  2. KT’s Tennis do not accept any responsibility for death or injuries that may occur whilst participating in any of our organised activities in any weather/surface conditions.
  3. KT’s Tennis accepts no liability for loss or damage of any personal property used or left at our coaching venue/s.

 

Website licensing:

  1. We own all the rights to our website address and all material on the website. You may view our website for personal use only, it must not be shown in public.
  2. You must not republish material from our website or duplicate, copy or edit any of the material.

 

Force Majeure:

  1. We do not accept any liability for any loss, damage or expense or make any refunds in the event of force majeure including but not restricted to: war, strike, riot, crime, epidemic or sudden legal changes outside our control.
