Private Coaching Terms and Conditions

These terms and conditions apply to all private tennis lessons delivered by our Tennis Squad Directors. They may also be adopted by our Independent Tennis Squad Lead Coaches, although lead coaches may have their own terms. If you are receiving coaching from a Lead Coach, please confirm which terms apply before commencing lessons.

1. Eligibility

• Private lessons are available to club members only.
• Guest sessions may be permitted in line with the club’s guest policy, where applicable.
• It is recommended that players receiving private coaching are already actively training and competing in tennis outside of their private sessions, to maximise progress.
• This requirement may be waived for new members who are building confidence before joining the club programme.

2. Coaching Format

• Private coaching may take place on a 1-to-1 basis or a 1-to-2 basis, where appropriate.
• A 1-to-2 session is suitable where both players are of a similar age and stage, and can benefit from comparable coaching practices.
• The coach will determine whether a shared session is appropriate based on ability levels and lesson objectives.
• A surcharge may apply for 1-to-2 sessions, which will be clearly stated in advance.

3. Commitment and Performance

• Coaches reserve the right to pause or withhold sessions if a player is not demonstrating sufficient practice or engagement during or outside of lessons.
• Players are expected to take an active role in their own development, as discussed with their coach.

4. Payments

• All payments must be made via the coach’s booking website ahead of the scheduled session, unless otherwise advised.
• If payment after the session has been agreed, it must be made by bank transfer within 24 business hours of the lesson.

5. Cancellations

• Lessons cancelled within 24 hours of the scheduled time may be chargeable, unless there are extenuating circumstances (to be assessed by the coach).
• On a second occasion of a late cancellation, the session will always be chargeable, regardless of reason.
• Consistent cancellations may result in the withdrawal of booking access.

6. Weather Policy

• In cases of inclement weather, the coach will decide whether the session can safely proceed, in consultation with the player or parent.
• If a session is abandoned or rained off with less than 50% completed, the full session will be rescheduled.
• If more than 50% of the session has been completed, it will be deemed complete, and no catch-up session will be arranged.

7. Session Scheduling

• Players do not have automatic rights or ownership over a regular weekly session time, even if a pattern has been established.
• Session times may change at any time due to coach availability, court allocation, or personal circumstances.
• Coaches will provide as much notice as possible of any changes.

8. Equipment and Facilities

• Coaches will provide all necessary equipment for lessons.
• Floodlight or lighting fees are determined by the venue’s policy and may include a player surcharge, which will be declared at the outset.

9. Agreement

By booking and attending private coaching sessions, players (or parents/guardians) acknowledge that they have read, understood, and agreed to these Terms and Conditions.
