Cancellation
Adverse Weather Conditions
We aim to run sessions in most weather conditions, including light or moderate rain or heat. However, sessions may be cancelled if the courts are unsafe due to heavy rain, flooding, or ice or thunderstorms are forecasted during the session time.
Session Cancellation Process
- The coach will make the final decision about weather-related cancellations.
- Decisions will typically be made at least 45 minutes before the session, where possible.
- Notification will be sent by email once a cancellation is confirmed. If players have not heard from the coach, they can assume that the session is going ahead.
Credit Policy
- If a session is cancelled before starting, a full credit will be issued.
- The session is considered to have gone ahead if more than 15 minutes of play occurs in a one-hour sessio or more than 30 minutes for play occurs in a two-hour session
Customer Cancellations
Multi-Week Courses
- Cancellations made more than 48 hours before the first session are eligible for a full credit or a refund minus a £5 administrative fee
- Cancellations made less than 48 hours before the first session are non-refundable and not eligible for credit, except in exceptional circumstances.
- Missed sessions during the course are not eligible for refunds or credits, except in exceptional circumstances.
- If you miss a session, you may request to attend an alternative session of the same skill level within the same course block, subject to availability. Please check the website for available sessions and email us with your preferred date. Make-up sessions are not guaranteed.
Drop-In Sessions, Social Tournaments & Events
- Cancellations made more than 48 hours before are eligible for a full credit or a refund minus a £1.50 administrative fee
- Cancellations made less than 48 hours before the first session are non-refundable and not eligible for credit unless your spot is taken by another player.
- Late arrivals or no-shows are not eligible for credit.
Coaching Provider Cancellations
If Vamos Tennis cancels a session or course for reasons unrelated to weather (e.g. coach illness, venue issue), a full credit for any affected sessions will be provided.
Exceptional Circumstances
Refunds or credits may be considered on a case-by-case basis for:
- Family bereavement or emergency
- Long-term or permanent injury/illness (expected to affect participation for 6+ months)
- Relocation away from the local area

All decisions are at the discretion of the team and are final.
Key Definitions
- Credit means you can apply the amount paid towards a future booking within 6 months
- Refund is a return of the original payment, minus any non-refundable fees.
