2026 Committee Roles

Chairperson

  • Taking overall responsibility for the day-to-day management and success of the club
  • Being the venue’s ambassador and spokesperson
  • Developing and agreeing a long-term plan for the venue and set directions
  • Ensuring the venue runs efficiently, working with the treasurer to ensure the income is sufficient to meet running and development costs
  • Hosting committee meetings, keeping to the agenda and ensuring decisions are made in the best interests of the venue
  • Working with the secretary to agree management team meetings, agenda items and minutes (meeting notes)

Secretary

  • Supporting the chairperson in the running of management committee meetings and the AGM, writing and circulating the agenda and meeting notes
  • Maintaining accurate records
  • Completing the annual venue registration with the LTA
  • Circulating relevant information from the County, Regional and National LTA

Membership Secretary

  • Responding to all enquiries from potential new members in a timely manner
  • Collecting renewal membership from existing members
  • Issuing welcome packs and/or a welcome e-mail to new members including the parents of junior members
  • Maintaining a database of members, including equality monitoring data where possible
  • Producing membership status updates/reports for the management committee as required
  • Suggesting new membership offers, i.e. for attendees of club open days

Treasurer

  • Having responsibility for financial planning, including an annual budget and monitoring spend/income against this.
  • Maintaining accurate and up-to-date financial records.
  • Providing a financial update at each committee meeting
  • Being the named signatory alongside the vice treasurer, chairperson and secretary on the club’s bank account
  • Preparing end-of-year accounts to the AGM
  • Paying all bills and issuing receipts
  • Making recommendations to the committee on increasing cost saving measures

Website Manager and Social Secretary

  • Setting up and maintaining the agreed social media platforms (e.g. Facebook, Instagram) for the venue using the official logo and background information
  • Encouraging members to ‘like’ or ‘follow’ you for news, competition and events updates
  • Monitoring the platforms for abuse or negative comments
  • Responding to enquiries or questions raised through these platforms
  • Update the platforms with regular news
  • Implementing the LTA social media guidelines

Welfare Officer

  • Working with others in the club to promote the venue’s Code of Conduct(s)
  • Ensuring safeguarding and diversity and inclusion is on committee meeting agendas
  • Acting as the first point of contact for all children and adults where concerns about welfare, discrimination, poor practice or abuse are identified
  • Working with the LTA Safeguarding Team when concerns arise within the venue
  • Maintaining contact details for the LTA Safeguarding Team and key statutory agencies
  • Contacting the Local Authority children’s or adults’ social care teams and the police about concerns where appropriate
  • Working with the LTA Safeguarding Team to facilitate audits of the venue in relation to the minimum standards
  • Working with the Committee/Management and LTA to facilitate the completion of any action plan to address the results of an audit
  • Working with others in the venue to ensure the relevant people at the venue have completed a satisfactory criminal records check

Courts and Ground Maintenance Officer

  • Identify and resolve any maintenance issues, having sought financial authorisation. 
  • Liaise with the Clubhouse member with regards to Clubhouse improvements.   
  • Oversee the annual moss and weed killing of the courts. 
  • Oversee grass trimming and perimeter tidying.  
  • Carry out regular risk assessments in relation to the court facilities, floodlights and outdoor areas generally to provide a safe and inspiring environment for tennis and socialising.
  • Organise maintenance of the floodlights including the lights and the control system
  • Maintain the practice wall

Balls and Ball Machine Maintenance Officer

  • Purchase and distribute the tennis balls around for teams and for club night
  • Be a point of contact for anyone that would like to purchase tennis balls
  • Maintain the ball machine, nets and other tennis resources and report any issues should they arise

Club House Manager

  • Maintain high standards of hygiene and cleanliness throughout all areas of the Clubhouse and its immediate surroundings
  • Manage communications with members, including newsletters, updates, and event promotions inside the club house
  • Report any damage to the committee and arrange sorting them out
  • Purchase any provisions for the club house when necessary

East Lancashire Teams Representatives

  • Obtain committee approval for the number of teams competing in the leagues. 
  • Select team captains and players, having taken advice from experienced players.  
  • Ensure team captains collect match fees from their teams. 
  • Provide team captains with advice on their responsibilities and the rules and regulations around matches
  • Ensure all captains have blocked booked the courts for matches on Clubspark
  • Attend East Lancs League meetings
