Booking Terms of conditions for the tennis courts
1. These booking terms and conditions apply to the hiring of all tennis courts at Clough Hall Park, Westlands Sports Ground and Wolstanton Park which are owned by Newcastle-under-Lyme Borough Council.
2. All booking of the tennis courts must be done electronically through www.lta.org.uk/book
3. The Hirer will be personally responsible for ensuring that court booking is paid in order to confirm the booking day and time.
4. The Council reserves the right of entry for its staff or agents at all times.
5. Newcastle-under-Lyme Borough Council reserves the right to terminate a court booking, if there are concerns about any aspects of the activity including the behaviour of spectators and those taking part.
6. All booking and payment correspondence is sent by email to the Hirer through the booking system Clubspark and the payment system, Stripe.
7. Newcastle-under-Lyme Borough Council reserves the right to cancel any booking at short notice and issue cancellation notices by email to affected hirers.
8. The tennis courts are for tennis activities only. Bikes, scooters, footwear with spikes or studs and dogs (with the exception of guide dogs) are all strictly prohibited on the tennis courts.
9. Some courts at selected times are reserved by Newcastle-under-Lyme Borough Council and WeDoTennis for coaching programmes and parks tennis activities.
Bookings
10. All courts need to be booked and paid for in advance in order for the hirer to receive the access gate code for their booking.
11 . Anyone can book at tennis court up to 7 days in advance on the booking system.
12. Court bookings are priced at £2 for up to a 1 hour time slot. These prices have been set through the Council’s scale of fees and charges.
13. Any court booking can be cancelled up to 1 hour before the start time of the booking.
14. In the event of poor weather conditions it is the responsibility of the Hirer to decide if the courts are safe to use. Refunds can be issued if the hirer decides to cancel up to 1 hour before the booking starts. It is the Hirer’s responsibility to cancel the booking to activate the refund.
15. All payments are made through the online Stripe payment system only.
Care of Premises
16. The Hirer must pay the Council the cost of any damage resulting from a court hire.
17. The Hirer must ensure that any rubbish is cleared away and the premises and grounds are left in the condition in which they were found. Any food/drink items must be removed and disposed at the end of each booked session.
Emergency Procedures
18. The Parish Council does not provide First Aid/medical facilities for hirers, nor does it guarantee access to a public telephone system for calling assistance during lettings. The Hirer must make suitable arrangements for this.
Condition of Premises/Grounds
19. Whilst the Council is unable to guarantee the fitness, suitability or conditions of the premises at the commencement of the letting, every effort will be made to ensure that they are in a reasonable state.
Insurance
20. The liability for accident and/or damage to property lies with the hirer not the Council. It is the hirer's responsibility to decide whether they need to take out insurance to cover this liability.
Responsibilities of the Council
21. Newcastle under Lyme Borough Council is responsible for maintaining the tennis courts and ensuring there is a net on each court.
Responsibilities of the Hirer
22. To make provision for emergency situations, including first-aid equipment and access to a telephone.
23. To be responsible for the safe keeping of their equipment and possessions whilst they use the courts.
24. The Hirer must not, and must not allow, damage to any equipment belonging to the Council (or any other organisation using the premises), and its surroundings. The Council reserves the right to a) charge the Hirer for any such damage caused and b) to cancel future bookings.
Compliance with Regulations
25. Failure by the Hirer to comply with any or all of the foregoing regulations, whether intentionally or not, may be deemed by the Council and its Officers to be just cause for the immediate cancellation of any court booking.
