GDPR

With effect from 25th May 2018 the UK is introducing new legislation to improve both protection and prevention of misuse of personal data.  The new General Data Protection Regulation (GDPR) applies to large and small organisations alike, including Bovingdon & Flaunden Tennis Club.  We want to provide you with some more information on this new regulatory requirement and how the club holds and uses your data.  


In order to manage the club and communicate with current and potential members we hold a limited amount of information about individuals, including members and others with an interest in the club, which they have supplied to us by entering it in their Acccount area on our website.  The legislation requires that permission to hold this data is given explicitly and, as part of the membership renewal process this year, members were asked to give Consent for the Club to hold personal data for specific purposes, including communicating about news or events happening at our club and the use of photos of tennis events on our website.  


In order to manage the club we hold some or all of the following data on our members and other contacts:

  • Name
  • Gender
  • Address
  • Telephone numbers
  • Email addresses
  • Date of Birth
  • BTM Number
  • Date joining the Club
  • Member status

We use this data so that we may communicate for purposes including:

  • Distribution of Newletters
  • Notification of events
  • Membership renewals
  • Coaching activities
  • Playing in teams

The data is held on a secure website provided to us by the LTA and Clubspark and used by the club to promote our offering and communicate to our members and other interested parties.  Both organisations are also required to comply with the GDPR and have confirmed the specific security measures in place to hold the data safely.  Neither we nor they sell your data or share it with any other organisation. 

 
In order that we may fulfil our legal obligations, we need your Consent to hold and use the data for the stated purposes. Initially this has to be in place by May 25th when the legislation takes effect.  If we fail to receive, or you choose not to give, the Consent, we will be obliged to delete your data from our records.


Should you wish to alter the Consents you have given you will be able to do so directly by logging in to your account area.  If you wish to have data deleted then this will be done on receipt of your request.  At any time you may request details of the data we are holding on you and we will be required to provide it in a timely fashion.
