Committee Roles
Chairman
- Overall responsibility for the day to day club management
- Lead strategy discussions, EGMs, and AGMs
- To agree meeting agendas with the secretary and monthly committee meetings
- Act as a spokesperson for the tennis club
- Motivate and support committee volunters
- To make decisions on behalf of the management committee once members have been consulted
- Lead the direction of growth and retention
- Attend S&D Chairman's meetings
Secretary
- First point of contact for all enquiries
- Key representative at meetings
- Affiliating the tennis club to the LTA
- Dealing with correspondence
- Maintaining accurate records
- Organising the AGM
- Organising and attending all management committee meetings and taking and distributing minutes
Treasurer
- Keep up to date records of all financial transactions
- Reports regularly to the management committee on the financial status
- Identifies fund raising opportunities e.g., grants and sponsorship and investments
- Prepares year end statements of accounts to be presented to the auditor
- Presents end of year financial report to the AGM
Grounds and House
- Liaise with contractors for maintenance and repair of:
- Courts
- Floodlights
- Fencing
- Clubhouse
- Gardens
- Conduct annual risk assessment
- Inform committee of maintenance issues that arise
- Work with groundskeeper to address issues
- Obtain quotations for major refurbishment of courts, fencing, etc
Match Secretary
- To arrange club competition fixtures and produce a club fixtures list including any subsequent changes
- To ensure all club matches are arranged with opponents and to organise courts
- To advise captains any subsequent changes
- To distribute the fixture list to relevant parties
- Ensure submission of match results by captains
- To liaise with and support league match secretaries
Membership
- Registering members and collating and updating membership information
- Maintaining Clubspark information to ensure accurate fees are displayed
- Communicating with potential members to give information
- Introduce new members to club captain
Club Captain
- Select team captains for Southport & Liverpool Leagues
- Establish Captains Policies to apply across teams
- Organise Captain's Invitational Event
- Welcome and assess new member's ability to help them settle
- Represent the club at league events
