Safeguarding Policy

It is important that all Children and Adults at Risk are able to enjoy their tennis at our facilities in a safe and healthy environment.

Everyone who is involved in tennis at Newlands Park has a shared responsibility to support this by promoting the welfare of all children, young people and adults at risk.

Newlands Park Community Tennis Centre (NPCTC) is managed by a group of volunteers and, as there is usually no staff on the premises, we rely on the help of everyone using our facilities to ensure the safety of all.

Child Supervision - in line with National NSPCC advice - all children under the age of 13 attending the Parks courts outside of coaching programmes and other organised club activities should be supervised by a parent or known adult.

Photography and Filming

No images may be used for commercial purposes without written permission from the Club Manager or Committee.

For adults:

  • Members and visitors who appear incidentally in wide-angle or crowd shots are considered to have given implied consent.
  • Explicit consent must be obtained from any adult before taking close-up photos or filming them individually or in small groups.

For children and young people (Under 18):

  • No photography or filming of juniors is permitted without prior parental/guardian consent.
  • Consent must be obtained via:
    • Membership or coaching registration forms, or
    • Event-specific photography consent forms
  • If a parent/guardian has withheld consent, the club will take reasonable steps to prevent that child from being photographed.

Safe Recruitment

This policy applies to:

  • All employees (paid staff)
  • Volunteers (including coaches, assistants, team captains, and committee members)
  • Contractors (e.g., external coaching companies)
  • Anyone engaged in roles that involve contact with children or vulnerable adults

For positions involving regulated or unsupervised contact:

  • An Enhanced DBS check (or applicable national equivalent) is required.
  • No individual may begin regulated work until appropriate clearance is confirmed.

The Club will verify:

  • Coaching qualifications (e.g., LTA qualifications)
  • First aid or safeguarding certificates
  • Membership status in LTA Coach Accreditation+

All newly recruited staff and volunteers will receive:

  • A safeguarding induction, including reporting procedures and codes of conduct
  • Access to the Club’s Safeguarding Policy and Code of Behaviour
  • Mandatory safeguarding training (renewed every 1–3 years depending on role)
  • A probationary period (typically 3 months) for new staff and volunteers

To ensure continued suitability:

  • DBS checks must be renewed according to national guidance
  • Qualifications and training must remain up to date
  • Concerns about conduct or behaviour will be addressed swiftly in line with the Club’s safeguarding procedures
  • Annual review of roles and responsibilities
