PART-TIME ADMINISTRATIVE ASSISTANT

We are pleased to invite applications for the post of Part-time Administrative Assistant at our tennis club.

The successful candidate will be reliable self-starter who is able to work autonomously, has initiative and possesses great communication and organisational skills. The vacancy is based at the tennis club. It would be attractive to anyone wishing to work part-time with some degree of flexibility to their working hours.

The post-holder will take full responsibility for the day-to-day administrative systems and procedures which ensure the effective functioning of the Caunton Tennis Club and its office. The successful candidate will also be responsible for co-ordinating and interacting with the senior coach.

Hours of work: 15 hours per week – days and times to be agreed.

Rate of pay: £12 per hour

Reports to nominated member of Caunton Tennis Club Management Committee

Person Specification

Experience

 

 

 

 

Essential

 

  • Computer Literate
  • Current and full working experience of Microsoft Office (particularly Word, Excel and Outlook)
  • Knowledge and use of social media including Facebook & Twitter

 

Desirable

 

  • Web design
  • Website update

Qualifications

  • Educated to GCSE (or equivalent) level including Maths and English (Grades A*-C)
  • Recognised formal administrative qualifications (eg NVQ level 2 in business and administration)

Job Description

Main purpose of job

To take full responsibility for the maintenance of systems and procedures which ensure the effective functioning of the Caunton Tennis Club and its office by fulfilling all related administrative tasks. The post will also be responsible for co-ordinating and interacting with the Head coach.

Responsibilities

To provide the first point of contact to existing members and visitors

To effectively communicate to existing members through maintenance of notice boards, newsletters, regular emails, telephone calls and texts.

To pro-actively market the club through social media (website, Facebook and twitter) and liaise with the local press and community

To welcome and recruit new members by ensuring prompt answering of messages and emails

To manage and coordinate membership records, payment of annual subscriptions and follow up unpaid monies

To provide notice of meetings, agendas, minutes and related papers

To attend and minute meetings including Management Committee, Team Captains, Fixtures, Project Groups

To liaise with the Management Committee to ensure that all health, safety and welfare issues and related incidents are clearly documented actioned and reported 

To support the work of the Club Treasurer by maintaining accurate records of payments.  This includes the control of petty cash and banking of cheques. 

To contribute to fund raising and grant seeking for the club by identifying possible sources of funding as requested by the Management Committee.

To organise and promote all club matches and tournaments including juniors, devise sign up lists and manage the process. Compile and maintain club fixture lists.

To purchase stationery and other office items as required.

To liaise with Notts LTA and other key sports organisations and governing bodies
