Membership Terms and Condition

MEMBERSHIP TERMS AND CONDITIONS

The Club shall be affiliated to the Lawn Tennis Association (LTA) and will complete and uphold the Rules and Regulations of the LTA. The Club will communicate with Club Members via email, WhatsApp, Club website, and social media.

MEMBERSHIP

  1. Membership of the club shall be open to anyone interested in the sport on application regardless of sex, age, disability, ethnicity, nationality, occupation, sexual orientation, religion, political or other beliefs.
  2. Limitation of membership according to available facilities is allowable on a non-discriminatory basis.
  3. The General Committee may refuse membership, or remove it, only for good cause such as conduct or character likely to bring the club or sport into disrepute.  Appeal against refusal or removal may be made to the members.
  4. Categories - the following types of memberships are available:

Adult Members are members who are aged 18 and over at the immediately preceding 1st April who are entitled to full use of courts and clubhouse as well as being able to participate in internal and external club matches, social tennis and coaching.

Off Peak Members are members who are age 18 and over at the immediately preceding 1st April but are limited to use of courts and clubhouse and coaching between Monday and Friday 8am-6pm excluding band holidays. Participation in club matches excluded. Attendance to Club Night included.

Junior Members are members who have not attained aged 18 at the immediately preceding 1st April and are entitled to use of courts and clubhouse under supervision.

Student Members are members are aged 18 and over in full time education (proof of education status will be requested) at the preceding 1st April who are entitled to full use of courts and clubhouse. Maximum age 25 years old.

Family Members are members defined as one or two adults plus children under 18, all living at the same address who are entitles to the same as the adult and junior members.

  1. All members keep their details up to date on clubspark or inform the club of any changes to their contact details.
  2. In the event of any injury, illness or other medical need, all reasonable steps will be taken to contact a parent/guardian (for Juniors) or a family member (for Adults), and to deal with the situation appropriately.
  3. All members must inform the club if they have any relevant medical, access or dietary needs.

SUBSCRIPTIONS

  1. At the beginning of each Club year, full year subscription rates for each category of membership will be advised by the General Committee with the other details of membership renewal or application.  Any changes shall be agreed at the relevant General Meeting.  The General Committee will use its best endeavours to ensure that the fees set by it do not preclude membership of the Club.
  2. Full year subscriptions are due on the first day of April in each year and must be paid in full by the following first day of May.
  3. The General Committee shall have discretion to allow further time for payment if it considers that circumstances exist which make it appropriate to do so.  If the subscription is not paid before the first day of May and no time allowance has been agreed, membership ceases on that first day of May.  Any free benefits available to members (eg. Free/reduced coaching, entry to tournaments etc.) shall only accrue to fully paid-up members and only fully paid-up members shall be eligible to play in any of the teams.
  4. For a new member joining in April or May the full year subscription is payable.  A new member joining between 1 July and 31 March shall pay a first subscription as determined by the General Committee on a proportionate basis.
  5. The General Committee may at their discretion allow reduction or special arrangements in specific cases if it considers it equitable that it should do so.
  6. Voting - all members other than Junior Members shall be entitled to vote at General Meetings.

VISITORS

  1. Visitors may use the Club facilities and in the interests of security and insurance provisions, they must be accompanied by a member who shall be responsible for the visitor.
  2. Visitors using the courts shall pay a fee as determined from time to time by the General Committee.  The amount of the fee shall be displayed on clubhouse notice board and, on the website, and no-one shall be entitled to use the courts as a visitor on more than three occasions in any one year.
  3. The General Committee shall have the right to exclude any visitor without explanation.

CLUBHOUSE

  1. The clubhouse is available to members from 8.00 am to midnight daily, unless it has been set aside by the General Committee for any reason.  It is not to be used outside these hours without the sanction of the General Committee.
  2. Please help keep the clubhouse clean, tidy and safe. Please put any chairs back tidily in the clubhouse before leaving.
  3. If any issues regarding club or clubhouse please reports them to the club secretary: secretary@riseleytennisclub.co.uk
  4. If used the kitchen please wash up any used mugs, plates, cutlery etc. and put them away.
  5. Any rubbish should be placed in the bin provided.
  6. If the bin is full, please empty and take out to the main bins in the car park.
  7. Please take any unused food and drink home with you – do not leave in the clubhouse.
  8. The club accepts no responsibility for personal items left at the club or in the clubhouse. These are left at your own risk.

COURT PLAY

  1. Play shall be in accordance with current LTA Rules.
  2. If, in the opinion of a member of the General Committee, any of the courts are unsuitable for play, that member shall sign a notice to the effect and whilst such notice remains posted, the affected court(s) shall be considered closed.
  3. Club league matches take precedence over all other matches during designated Club play periods unless the General Committee has specifically sanctioned otherwise.
  4. Whilst on court players must wear appropriate tennis clothing and footwear which will not mark or otherwise damage court surfaces.  Members of the General Committee shall arbitrate on what constitutes appropriate tennis clothing.
  5. Although tennis balls are usually available at Club times, we cannot always guarantee the quality and recommend that players bring their own.
  6. All courts have a coded padlock for access and there is a booking system on the website to book courts.
  7. After playing, please make sure that all rubbish is removed or put in the bins provided and that the court is locked again and floodlights are turned off.
  8. The LTA offers free membership to LTA Advantage Play+ for all members of an affiliated club. Members can sign up online - all members aged 11 and over will need an LTA number to enter the Wimbledon ballot and to take part in any team or competition play.

THURSDAY & SUNDAY CLUB SESSIONS/FIRST FRIDAY

These are sessions open to adults and older juniors of all ability, where members of all abilities are expected to mix into doubles foursomes including swapping playing partners. To ensure players are mixing around quickly shortened sets consisting of 7 games are played. If there are more than 16 members wanting to play at these events then some players may have to sit out and await their turn to play.

CAR PARKING

Car park is shared with the Riseley Tea Rooms and property of Swallowfield Parish Council. Cars are parked at the owner’s risk.

FIRST AID/ACCIDENTS

  1. Please note there is a First Aid Box in the clubhouse in the hallway and more first aid supplied in the kitchen. These are restocked regularly but if you notice something missing or items out of date or items that may be useful but are not included in the kit please advise the Club Secretary: secretary@riseleytennisclub.co.uk
  2. All accidents must be logged, please inform the club secretary of any accident and the details as soon as possible.

FIRE ACTION

In the event of discovering a fire in the clubhouse or immediate vicinity:

  1. Ensure you make people in the clubhouse, on court and surrounding areas aware and make sure they leave immediately and tell them to report to the to the fire assembly point – on the park.
  2. Call the Fire Service - ring 999
  3. Attach the fire, if possible, using equipment provided – but do not take risks.
  4. Reports to the fire assembly point, wait for Fire Service.
  5. Call the Club Chairperson, Treasurer and Secretary.

DATA PROTECTION

By becoming a member, you agree to the Club using your personal information to administer membership, collect membership fees and provide club information and promote events. It will not be passed to any third party for marketing purposes or other purposed. For further details please see the Club’s Data Protection Policy on our website.

PHOTOGRAPHS

The Club would like to use photographs taken at coaching and social events within publicity material and to post on the club website/social media. In accordance with our Photography and Filming Policy, the club will seek individual permission to use such photographs for this purpose.

WELFARE & CHILD PROTECTION

Under 13s must be accompanied by an adult whilst using the tennis courts, clubhouse, and surrounding areas. Please note this also applies to tournaments run by the club.

  1. Under 13s must be transported to matches by their parents. For juniors aged 13-17, they may be transported by another parents/or adult playing in the match if there is written agreement between both parties (ie a text). The team captain should be made aware of this agreement.
  2. The clubs safeguarding and other policies can be found on the club website.
  3. Any concerns or incidents should be reported to the Welfare Officer. The contact details can be found on the notice board in the clubhouse, website or below.
