Terms of use & Privacy Notice – March 2026 Update

These terms of use apply to the hire of tennis courts at Archbishops Park, Brockwell Park, Clapham Common, Hillside Gardens Park, Kennington Park, Larkhall Park, Ruskin Park, Streatham Common, Streatham Vale Park and Vauxhall Park. They also apply to cricket net bookings at Clapham Common and Kennington Park.

By making a booking to hire a court, you are agreeing to abide by these terms of use.

 

General booking rules

  • You must book a court or net online before you play
  • Tennis pay and play is charged at £7.70 or £12 per hour, per court respectively. 
  • Cricket net pay and play is charged at £9 per hour
  • The hirer can book one slot, up to a maximum of 2 hours per day. If duplicate or fraudulent booking accounts are identified, any associated bookings will be deleted without refund
  • Bookings can be made up to 7 days in advance, with new slot availability for the following week to go live at 8pm each day
  • A maximum of 4 players should be on a tennis court at any given time, unless the session is being provided by a permitted coach or the hirer has written permission from Lambeth Council

 

Misuse and Right to Refuse Service

Misuse of Facilities and Booking System
We are committed to providing a fair, safe, and respectful environment for all users. By making a booking or using our facilities, you agree not to engage in any behaviour that we reasonably consider to be misuse. Misuse includes, but is not limited to:

  1. Breaching booking rules, including booking outside of permitted limits, transferring bookings to others without permission, coaching without Lambeth Council permission, or using false or multiple identities to obtain additional access.
  2. Failing to follow facility rules, staff instructions, or safety guidelines.
  3. Engaging in disruptive, abusive, or inappropriate conduct towards staff, other users, or the facility.
  4. Attempting to circumvent fees, access controls, or system restrictions, including by using alternative accounts or payment methods to avoid enforcement of these Terms.
  5. Any conduct that causes, or is likely to cause, damage, disruption, or disadvantage to our services, staff, other users, or our booking systems.

Enforcement and Restrictions
Where we reasonably believe misuse has occurred, we reserve the right, without liability and at our sole discretion, to:

  • Cancel current or future bookings
  • Suspend or permanently delete your customer account
  • Refuse you access to the facility or future use of our services
  • Prevent further bookings using the same customer details (including email, phone number, or account identifiers)

We may take any of the above actions without prior notice where necessary to protect our customers, staff, or services, or to prevent further misuse.

 

Payment Methods
While we may restrict your ability to make future bookings with us, we do not and cannot block or restrict your payment cards outside of our own systems. Any payment method restrictions apply only to transactions attempted with us via our payment processor Stripe.

 

Misuse & Breach of Venue Terms
We may suspend or refuse future bookings where you (or anyone using your booking) repeatedly: (i) fail to attend booked sessions; (ii) misuse gate access; (iii) commit payment fraud or charge back legitimate bookings; or (iv) otherwise breach our published venue rules. Any refusal will be reasonable and proportionate, applied only after we notify you of the issue and provide a route to appeal.


Payment Security & Fraud Prevention
To protect our community and comply with payment network rules, we may use our payment processor’s security tools (e.g., deny‑lists) to prevent further transactions linked to confirmed misuse or fraud. We do not store your full card details; our processor handles that securely. See our Privacy Notice for details.

 

 

Cancellations, Weather, Refunds and Credits

  • Court cancellation periods differ by site. Vauxhall has a 24 hour cancellation policy, with all other sites 2 hours.

 

Cancellation by the hirer

  • No cancellations via email will be accepted.
  • If the above cancellation terms are met, the hirer will be refunded in full to their original payment method. Refunds can take 5-10 days.
  • If a player has tried to cancel their court booking via Clubspark but there is an issue with the system, clear evidence of this should be provided and sent to parkssportsbookings@lambeth.gov.uk. This evidence must be sent in advance of the booking slot, in line with the cancellation terms of that specific site, in order to be eligible for a refund.

 

Weather Cancellations

  • For any weather cancellation, it is the responsibility of the hirer to cancel their own booking in order to receive a full refund to their original payment method. This must be done within their own account area and within the cancellation terms of that site.
  • If play is not possible due to an unplayable court, a request can be made to credit the booking back to your account via parkssportsbookings@lambeth.gov.uk 
  • The booking must be cancelled by the hirer within their own account area before the end of the booking slot.

 

  • When contacting the email above for a credit you will need to provide information about your booking; photo evidence of the unplayable court, the reason you couldn’t play, the name of the lead booker, court date / time, venue and court number. This request must come from the person that has made the booking. This must be completed within 48 hours of the booking to be eligible for a credit.

 

  • Only credits will be issued in the case of an unplayable court at the discretion of the Council.

 

  • These credits will only work via the Clubspark platform and can be applied at checkout. They will not be visible on the LTA Play platform.

 

 

  • Credits will be valid for 28 days from the date of issue and are only valid for the venue in which the credit was originally for.

 

  • If you cancel a session which was paid for via a credit, this credit will be lost. Please email parkssportsbookings@lambeth.gov.uk to reapply the credit to your account.

 

 

Refunds and Credits

  • Where credits are issued to a booker, they will be made available for up to 28 days after the booking that is being credited. Credits not used in that period of time will expire and are no longer valid.
  • Credits will be available automatically when you’re at ‘Checkout’ on the Clubspark platform only. You’ll able to choose if you want to use your credit on your purchase or save them for another time.
  • Refunds and credits are given at the discretion of the Council.
  • No part session refunds or credits will be issued.
  • If you cancel a booking that you have used your credit with, the credit will not automatically reimburse the booker with the credit. You will need to contact parkssportsbookings@lambeth.gov.uk to reimburse the credit if the cancellation falls within our policy.
  • The Council will not be liable for any other expenditure incurred or loss sustained by the hirer arising from cancellation.

 

Cancellation by the Council

  • The Council reserve the right to refuse, cancel or change any booking or event at any time prior to its commencement and to refuse admission to the courts. Where possible an email will be sent to the hirer notifying them of this.
  • The Council reserves the right to pre-book the courts at will – including the purpose of coaching, events, or maintenance.
  • In the case of the Council cancelling a person’s booking, it shall issue a full refund or credit you the full price.
  • The Council shall not be responsible for any extra costs incurred as a result of a cancelled or rescheduled booking.
  • There is no entitlement to a refund where the Council is forced to cancel part or all of an event beyond our reasonable control. However, refunds may be given at the Councils discretion.

 

Court rules

  1. Courts must not be used for any other purpose than that of the booking being made e.g. sporting activities, they must not be used for unlawful activity and should only be used within the times that are booked.
  2. All bookings are non-transferrable and must not be sub-let to third parties. Any instances of unauthorised usage or subletting may result in future bookings being cancelled.
  3. Hirers agree to abide by the Lambeth Parks Byelaws as displayed online here: Rules and regulations | Lambeth Council and any relevant acts of parliament/applicable legislation. 
  4. Hirers are responsible for ensuring that their participants are aware of the rules of use for a facility before activities begin.
  5. Hirers are required to:
  1. Ensure that any exits must not be obstructed for fire regulations or obstruct other park users.
  2. Flammable materials and naked flames are not to be used on site.
  3. Appropriate adult supervision will be provided where participants involve children.
  4. Hold appropriate safeguarding training and or qualifications for the applicable activity
  5. Cooperate with and follow instructions as directly by council staff or its nominated representatives.
  6. Vacate the court by your allotted finish time.
  7. No smoking in buildings or enclosed/fenced facilities.
  8. No animals (other than assistance dogs) will be permitted within buildings or enclosed/fenced facilities.
  9. All litter that is generated by participants will be disposed of in waste bins or removed from site completely if they are full. Failure to comply may result in costs being charged for its remove and if repeated may result in future bookings being cancelled and refused.
  10. No trespassing onto private adjoining property to retrieve balls or any other reason. Courteous contact may be owner/occupier by the front entrance to request return of balls should the owner permit.
  11. Parking of vehicles for hirers, participants or spectators is not permitted in any Lambeth park or open spaces unless a designated public car park exists.
  12. No public address or amplified equipment is to be used unless prior written consent is granted in advance by the council.
  13. The hirer and participants shall indemnify the council against all actions/claims, demands and costs in respect to injury to a person/property arising out of or incidental to the hire and use of our pitches and facilities.
  14. Event bookings may be subject to additional licensing requirements and charges. Hirers are responsible for ensuring they adhere to any licensing requirements.

 

Footwear & Clothing Guidelines

  1. Court Protection: Footwear must be non-marking and of a type that will not damage the court surface. Shoes with deep ridges, aggressive soles, bars, studs, or sharp serrations are generally not allowed as they can cause permanent damage to hard courts. Black soles that leave scuff marks should also be avoided.

 

  1. Player Safety: Proper tennis shoes are designed to provide the specific lateral support, stability, and grip needed for the multi-directional movement, quick stops, and starts involved in tennis. Other types of athletic shoes, such as running shoes, are designed for forward motion and lack this support, increasing the risk of injuries like ankle sprains.

 

  1. Players should wear appropriate athletic attire for tennis. Standard athletic wear designed for physical activity is advised for both comfort and safety.

 

 

Coaching

  1. Only tennis or cricket coaches with written permission and that block book courts through Lambeth Council are permitted to coach on the parks tennis courts and nets. Any individual to be found coaching without valid permission and other required pre-requisites will have their bookings cancelled, account deleted and both the Parks Enforcement Team and the LTA will be informed
  2. Assistant Coaches are not permitted to book courts for coaching purposes without written consent from Lambeth Council
  3. Coaches have to abide by the terms of their own licence arrangements and booking procedures

 

Right to play

  • The hirer must book a court or net online before playing and it is your responsibility to look after your booking pin number issued. We will not be able to issue a new pin at short notice
  • If someone is playing on the court or net when you arrive use your booking confirmation as proof or use another court or net if available. If both show adequate proof, the name listed on the live booking sheet will be final.

 

If you breach any of our guidance or terms, we reserve the right to cancel bookings without refund.

3. Platforms and Third‑Party Providers We Use

3.1 ClubSpark (Platform Provider)

We use the ClubSpark platform to manage bookings, memberships, and customer interactions. ClubSpark provides the website, booking engine, account management tools and associated services.

3.2 Stripe (Payment Processor)

Online payments made during the booking process are handled securely by Stripe, the integrated payment provider used within ClubSpark. Stripe processes your card information and transfers funds to Lambeth Council. [clubspark.co]

Lambeth Council does not receive or store your full card details.


4. What Personal Data We Collect

We collect the following categories of personal data:

  • ClubSpark account details
  • Booking history
  • Membership status (if applicable)
  • Age confirmation for under‑18 safeguarding purposes
  • Optional communication preferences

4.2 Information processed for payments

Handled by Stripe:

  • Cardholder name
  • Billing information
  • Partial card details (last 4 digits)
  • Payment reference and transaction metadata
    Lambeth Council does not access full card numbers, CVV codes, or PIN data.

4.3 Technical data

Via ClubSpark:

  • IP address and device/browser information
  • Login logs
    These are processed for security, fraud prevention, and service functionality.

6. How Your Data Is Processed

6.1 Within ClubSpark

ClubSpark hosts your booking and account data as part of its platform provision. Their systems control user authentication, booking schedules, and communication tools. [pcidssguide.com]

6.2 Within Stripe

Stripe securely processes your payment, collects required transaction details, and ensures your booking is confirmed only after successful payment. Stripe and ClubSpark jointly enable the payment flow for bookings. [clubspark.co]

All payment data is encrypted and compliant with PCI DSS requirements (Stripe’s responsibility as processor).


7. Who We Share Your Data With

Your data may be shared with:

  • ClubSpark (as a data processor) for delivery of booking services
  • Stripe (as a payment processor) for secure payment handling
  • Internal Lambeth Council teams responsible for facility management, safeguarding and finance
  • Law enforcement or regulatory bodies where required by law
  • IT and system support partners under formal contracts

We do not sell your personal data to any third parties.


8. International Transfers

Stripe may transfer payment data outside the UK (for example, to the United States), but only where lawful safeguards are in place, such as adequacy decisions or Standard Contractual Clauses (SCCs).

ClubSpark hosting arrangements may also involve securely managed international transfers under their platform terms.


9. Data Retention

We retain your data only as long as necessary for:

  • Managing active bookings or memberships
  • Compliance with financial regulations (typically 6–7 years)
  • Safeguarding, incident reporting or dispute resolution
  • Statutory audit requirements

After retention periods expire, data is securely deleted or anonymised.


10. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Request correction of inaccurate information
  • Request deletion (where applicable)
  • Restrict or object to certain processing
  • Data portability (where applicable)

Some automated fraud checks (e.g., Stripe risk scoring) may occur during payment processing, carried out by Stripe as part of their service.
