Totteridge Tennis Club (the “Club”)

Membership Subscriptions Rules and Policies - version 1.0

The following Rules and Policies are approved by the Committee of the Club.

Background: The Committee believes the Club should operate with its own interests at heart - which is to further the interest of the Club and its Members as a whole. We wish to operate in a fair, equal and transparent way whilst always respecting individual confidentiality. This specifically means not providing preferential treatment to one Member or group of Members over another. 

1. The Membership Period for each subscription is 12 months from the day of joining. No refund is automatically available if cancelling during the 12 months. Under certain cirucmstances the club, entirely at its discretion, may agree to a partial refund - factors may include the number of years the Member has been with the club and the reason for cancelling (ill-health, moving out of the area). This will be decided under Rule 6. below.

2. A grace priod of up to 14 days for payment may apply.

3. If a Member cancels their subscription they are no longer a member of the Club from the date they give as their leaving day, or the end of the subscription year (12 months form joining) if no such date is given. If a Member fails to pay their subsciription their Membership will lapse and they will no longer be a Member of the Club. Any person who is no longer a Member of the Club will have to pay the New Joiners subscription rate should they wish to re-join at any future time.

4. The Club operates an online secure membership system, payment through which is the only accepted form of payment. 

5. If a Member becomes unwell or unfit to play and expect this to be continuous for 6  months or more, they may be eligible for a renewal carry-over.  To be eligible the Member must advise the Membership Secretary in writing at the earliest opportunity so this can be logged in. Unless acknowledged by the Membership Secretary the notification will not be valid. No retrospective notification of illness or injury shall be accepted.

The Member must provide evidence of their condition as the Membership Secretary sees fit. The period from notification to the Membership Secretary and to the end of the subscription must be at least 6 months. If the conditions are fully met the Club may, at its discretion, offer a 50% reduction on the Renewal rate at the start of the following year, or 50% of the new Joiners Rate if later. This offer, if made, will only be for the immediate subscription year following notification of illness or injury. 

6. A Member may request an exception to payment or refunding by contacting the Membership Secretary. The Membership Secretary shall refer to, and advise on, these Rules and Policies and how they may be applied.  If a request for an exception to the Rules is made, the Membership Secretary shall consult with the Club Manager. If the Membership Secretary and Club Manager are in agreement to making an exception then this will be offered. Any offer will not set a precedent that a similar offer will be made to other Members or to the Member requesting this exception on another occasion. If a request is declined, a reason may be given but the Club is not obliged to give any reason.

7. If a Member is not happy with the decision or action of the Membership Secretary (and Club Manager where involved) then they may put their complaint and any associated request for action or exception to the Committee in writing (by email). The Committee as a whole will consider it and revert in due course. In the interim period, any decision made by the Membership Secretary and Club Manager shall be binding.

8. By renewing or joining the Club the Member agrees to abide by these Rules and Policies and any variation of the made from time to time.

9. Any money/credit left on loyalty/gold card upon the end of member's membership will cease and will not be transferable and no cash refund will be given.
