KINGSWOOD LAWN TENNIS CLUB BYE-LAWS – October 2018

GENERAL

1. It is a condition of membership that all members and their visitors observe these Bye-laws at all times.

USE OF COURTS 2. The Tennis programme , which can be found on the website and in the clubhouse , includes all activities at the club including court allocations

3. Unless specifically authorised by the Committee, neither Club Team matches, nor “arranged” games, nor coaching may take place during those Club Sessions for which all courts are required to be available. Where Club Team matches, “arranged” games, or individual/small group coaching are authorised to take place during Club Sessions, Courts 1 and 2 must be left free for the Club Session players, unless those players agree otherwise.

USE OF COURTS FOR CLUB TEAM MATCHES

4. Subject to paragraph 3 above, the Club Team Captains may reserve courts for Club Team matches, giving as much notice to Club members as possible. 5. Unless specifically authorised by the Committee, no more than 2 courts at any one time shall be reserved for Club Team matches.

6. Notwithstanding paragraph 2 above, on any Sunday, 2 courts may be reserved for Club Team matches from 10h30 onwards, giving as much notice to Club members as possible. However, if teams arrive before 10h30, they will not be able to use the courts until 10h30 (unless they are free).

USE OF COURTS FOR COACHING

7. The Club Coaches may reserve one court for individual or small group coaching at any time other than during those Club Sessions for which all courts are required to be available

8. The Club Coaches may reserve up to 3 courts for larger group coaching sessions, as long as this has been agreed by the Committee. As much notice as possible should be given to Club members. 9. Any other use of the courts for coaching requires the specific prior approval of the Committee.

USE OF COURTS BY MEMBERS

10. Subject to the requirements for Club Sessions, Club Team matches and Coaching set out above and the conditions listed below, the courts are available for members to play on every day from 08h00.

10.1. However, the courts are not available for play by members when required for special events organised by the Club such as Finals Day, Handicap Finals Day, Team Tournaments or American Tournaments. These events will be publicised on the Club notice board and on the Club website.

10.2. Members are not entitled to reserve courts without the prior approval of a Committee member. Any such reservation which is approved must be publicised for as long as possible on the Club Courts notice board, including the name of the approving Committee member.

11. A Committee member is empowered to close the courts when he or she decides that circumstances require.

12. Except where a court has been reserved for Club Team matches, coaching or special events referred to in paragraph 10, if others are waiting to play, occupants of a court must stop

12.1.at the end of a set or when the score reaches 6-5, whichever is the earlier.

12.2.if they are not playing a set, then 15 minutes after they are made aware that players are waiting.

13. Any set which has commenced fifteen minutes or earlier before the start of a Club Session, must be completed after no more than eleven games. Any set, which has commenced 15 minutes or later before the start of a Club Session, must be terminated at the time of the scheduled start of the Club Session.

14. On leaving the court members must take away all personal belongings and place rubbish in the bin provided. They should also ensure that the gates to the courts are closed to prevent animals from entering and if they have used a clay court , it is dragged and the lines cleaned.

15. Members should not lower nets at the end of play. Modern nets do not require lowering.

USE OF COURTS: PRIORITIES

16. The Committee will determine priority guidelines for use when all courts are occupied, including cases when some courts are out of action for whatever reason (e.g. maintenance; adverse weather conditions). These priority guidelines will be published on the Club noticeboard and the Club website. The current guidelines are shown below.

a. When all courts are available the following order of priority will Apply:

i. Anything specifically approved by the Committee. This covers special events (eg Finals Days, American Tournaments, Open Days etc) and also approved Team Matches or Coaching at times they would not otherwise be permitted.

ii. Club Sessions specified in the Tennis Programme.

iii. Inter-club Matches. These include Men’s and Ladies’ Teams, Mixed Doubles Teams, junior and Friendly Teams.

iv. Coaching by the Club Coaches.

v. Free play by members.

b. When available courts are restricted and insufficient for all players:

i. If a Committee member is present, they will determine court allocation.

ii. Because of the arrangements which will have been made and the inconvenience that would be caused by cancellation, Inter-club Matches and Coaching should take priority over Club Sessions and free play by members.

iii. If possible, in the view of the Coach or Assistant Coach, the Coaching session should be conducted without using any (or the usual number) of playable courts,

iv. If possible, in the view of the Team Captain, the Club Team match should be restricted to one court.

v. If, given the views of the Coaches and Captains above, there are still insufficient courts available for their requirements, the available courts shall be shared between Team play and Coaching.

vi. If only a single court is available, Coaching shall take priority over Team play. USE OF FLOODLIGHTS

17. Members may use the Club’s floodlights on Courts 3, 4 and 5 until 21h30 weekdays and 20h00 on weekends and bank holidays. which are the hours permitted by Reigate and Banstead Borough Council

18. Members should only illuminate the court or courts they will be using.

19. Members must ensure that the floodlights are switched off when play has finished.

USE OF PRACTICE WALL

20. Members may use the practice wall at the back of Court 3 at any time after 08.00 provided that Court 3 is not required for play. A Member using the practice wall must immediately vacate the court if it is required for play. DRESS

21. Tennis shoes must be worn when using the courts.

22. Members must expect to be asked for proof of membership by any Committee member or Club member and may be required to stop playing until such proof can be provided.

23.The Committee encourages all members to dress in recognised tennis-wear, especially when representing the Club.

CHILDREN

24. An adult must accompany Junior members or visitors under the age of 12.

25. On the advice of the Club Coach or at the Committee’s discretion, Junior members of an appropriate standard may be invited to attend Club Adult Sessions. VISITORS

26. Adult visitors are expected to pay a fee of £3 and juniors £2 for use of the courts.

27. The Visitor fee must be put in an envelope provided in the clubhouse and posted in the postbox or paid directly into the clubs banks account within 7 days of play.

28. Unless authorised by the Committee, no visitor may be introduced to play on more than three occasions in any one membership year (from April to the following March). A member may not introduce more than three visitors on any one day.

29. The member must enter the names of all visitors in the visitors’ book provided in the Clubhouse before play. If the Clubhouse is locked, the member should notify the Club Treasurer by email at the earliest opportunity.

30. The host member must accompany all visitors throughout their visit.

31. Junior members may only introduce junior guests and can pay visitor fees for a term.

DOGS

32. No dogs or other animals shall be allowed at any time on the courts.

PROTECTION OF COURTS

33. In order to protect the courts, no bicycles, tricycles, skateboards, roller skates, roller blades, pushchairs, nor anything similar, may be taken onto the courts.

34. No liquids other than water, no food and no chewing gum may be taken onto the courts.

CLUB LIABILITY

35. Members or visitors bringing vehicles, rackets, clothing or any other property to the Club do so at their own risk. The Club, the Committee and members thereof will accept no responsibility for any loss, damage or injury to members or their property howsoever caused.
