Terms & Conditions - Swimming Lessons

 

These Terms replace any previous versions and apply at all times, whilst also taking priority over any verbal communication by us. We may need to update these Terms from time to time and as such, updated terms and conditions can always be found on our website: Bloxham School / Public Sport and Leisure (lta.org.uk)

Bloxham Enterprises Ltd is a commercial subsidiary of Bloxham School.

General

  • Parents/carers are not required to remain on poolside during the lesson. Parents/carers must be on poolside by the end of the lesson time, ready to collect their child(ren). In the interests of Health and Safety, parents/carers must remain seated if they do remain on poolside.
  • All visitors must follow the changing room admission policy. These are communicated via posters on the front of the changing room doors and ‘pool rules’ posters within the changing rooms.
  • Swimwear must be made of swimwear material (for example, any shorts must be made of swimwear material, and not shorts made of cotton or any other material)
  • Swimming hats must be worn for stages 1-7. We do not operate a coloured-hat system for each stage of the learn to swim pathway, in our bid to reduce waste. We do not sell swimming hats at this time.
  • Approximately 5 minutes per lesson will be allocated to the administration of registration and achievement records for participants. Please arrive on time or before the swimming lesson start time.
  • Weekly swimming lessons run in accordance with Oxfordshire County Council term dates. There are 6 half-terms in total (September – July). Additional closures may apply around the Christmas holidays, events, staff absence (etc) and we aim to give as much notice as possible of respective closures.
  • Swimming lessons do not take place on bank holidays.
  • Where considered necessary, Bloxham Enterprises Ltd reserves the right to change the course details, i.e. day, time, course, instructors etc. Efforts will be made to give prior notice but this cannot be guaranteed.
  • Participants must use all equipment and facilities in an appropriate manner and give safe regard to their own health and safety and to that of others.
  • Participants must comply with conditions of use displayed throughout the facilities relevant to each activity. Participants must also follow safety guidance from teachers.
  • Bloxham Enterprises Ltd accept no liability for lost or stolen goods whilst on our premises unless as a direct result of our negligence. Property stored in changing rooms is at your own risk. Cars parked in the carpark and all contents in them are your responsibility and we will not accept and liability for loss or damage to them.
  • We may keep most found items of clothing/equipment etc for up to four weeks. After this time, we reserve the right to dispose of these items as we see fit. For hygiene reasons, we do not keep items of underwear, hairbrushes and combs etc.
  • It is the participant’s responsibility to ensure they are fit to use the facilities. Please inform a member of the Bloxham Enterprises Ltd team of any health or medical conditions. These should be communicated when completing an enrolment form, however any changes must be communicated prior to the next swimming lesson. Email is preferred, via swimmingpool@bloxhamschool.com
  • For Health and Safety reasons, participants must not attend swimming lessons for at least 48 hours after suffering vomiting or diarrhoea - nor swim for 14 days after diarrhoea symptoms have stopped if you have been told you have cryptosporidium.
  •  Aqua nappies must be worn by non-toilet trained children.
  • During pandemics, supporting documents titled ‘What to Expect, Map and pandemic FAQ’s’ must be followed. Changes to operational procedures are detailed within this document, and updates to the document will be circulated when available to parents/carers via email.
  • Children under the age of 8 may change in the changing room of their accompanying parent/adult, whether male or female. In the case of additional needs, this may extend to 11 years of age.

Bookings – New and Ongoing

  • New bookings follow these procedures: 1. Bloxham Enterprises Ltd staff respond to enquiries received via swimmingpool@bloxhamschool.com ; 2. Available days/times are offered to participants/parents/carers and places are reserved for up to 1 week; 3. participants/parents/carers complete an enrolment form and open discussions with Bloxham Enterprises Ltd staff with regards to medical conditions and/or additional needs; 4. Bloxham Enterprisers Ltd send an online link to establish payments via mandate from participant/parent/guardian, 5. payment collected and place confirmed, 6. participant can start lessons.
  • Term dates and costs are sent to you via email or can be found online through: Bloxham School / Public Sport and Leisure (lta.org.uk) in advance of the upcoming term.
  • When beginning lessons with Bloxham Enterprises Ltd, details of your bookings including, day, time and stage will have been agreed between yourself and the Bloxham Enterprises Ltd team.
  • Existing customers are given priority when booking for the next term. Unless you inform us of circumstance changes, or that you wish to cancel lessons, we will rebook you onto the term.
  • We need to have received your payment by the deadline date specified. If we do not receive payment in time, we will not be able to guarantee you a place in swimming lessons.
  • You will not be automatically booked onto the following terms lessons if:
    • A space in lessons is no longer available – for example, a teaching staff member has left employment and no other spaces are available in lessons (you will be given as much notice as possible)
    • Your payment has not reached us by the deadline date
    • You have informed us that you wish to cancel lessons

Payments, Rescheduling or Cancellations

  • Upon paying for swimming lessons, your payment details are stored by our finance team and handled in accordance with the General Data Protection Regulations (GDPR).
  • If your details change, please let us know via email to swimmingpool@bloxhamschool.com.
  • If someone other than yourself pays for the swimming lessons for you, it is your responsibility to ensure that they are informed of any payment deadlines or updates.
  • Payment must be made via the online payment systems. You will receive an email addressed from Bloxham Enterprises Ltd, via GoCardless payments (or Stripe online payments).
  • In the event of circumstances beyond our control, lessons may be rescheduled or cancelled without prior notice. Efforts will be made to provide notice, however notice cannot be guaranteed. Bloxham Enterprises Ltd is entitled to offer an alternative lesson or suitable alternative in these circumstances.
  • Refunds or extra lessons will not be given for non-attendance due to holidays
  • If participants are unable to attend due to sickness, single lessons may not be refunded. Should participants be absent for up to 1 term for medical reasons, their space will be held for a maximum of 1 term with an accompanying doctor’s note. Payment for the term may be credited, however payment must be made for the successive term if the participant plans to return. If payment is not received for the successive term, or if participants are unable to resume in the successive term, their space will not be guaranteed upon their return and their space may be offered to other participants. A medical note must be provided for credit to be applied. Only 1 term may be credited per 2 academic years, from the date that the participant returns to lessons. For intensive lessons and private lessons (one-to-one and one-to-two lessons), only 1 course may be credited per 2 academic years.
  • Claims for refunds will not normally be considered. However, certain requests may be considered in exceptional circumstances at the discretion of the Management, for example a serious illness or swimming teachers are unavailable to cover lessons. Normally, we offer credits for individual lessons, which are applied to payments/mandates for the upcoming term.
  • During pandemics, credits and/or refunds will be provided on a case-by-case basis. If a swimmer displays signs and symptoms of the respective virus and is unable to attend lessons, a credit will be applied for lessons that cannot be attended during an isolation/’quarantine’ period.
  • All places booked on the swimming lesson programme must be paid for in advance and, therefore, bookings cannot be taken without prior payment.
  • If payment cannot be made, access to the classes may be withdrawn at the discretion of the management team.
  • We calculate your swimming lesson enrolment fees in whole calendar months. This means that cancellations will apply as follows: we ask you to give notice of one calendar month or more, to swimmingpool@bloxhamschool.com. If you give notice during a month, we will treat it as if we received it on the first day of the following month and the notice period will run from that day. For example, if you give us notice to end swimming lesson enrolment and we receive your notice mid-month, your notice will start from 1st of the following month and will lapse at the end of that following month. Payment terms still apply via mandate during the cancellation period. The only exception to this is if we receive notice from you up to and including the fourth day of a month, we will treat it as if we received it on the first day of that month and the notice period will run from that day. Freezing’ enrolment (and payment) may apply in the case of medical exemptions, although we require a doctor’s note to accompany such instances.
  • For badges/certificates, we will add one-off amounts to your mandate – specific to badges and certificates issued during a particular month and the current pricelist. Pricelists are usually specific to academic years
