Definitions:
We – Ace Coaching
You/Your/Our – Our clients

Bookings:

At Ace Coaching, we require you to reserve Your place on our courses by booking online. Go to our website and follow the booking links.

• All players participating in term-time classes must also be a mini or junior member of Cheam Tennis Club - Join Here

Booking Conditions:

• All course bookings are subject to availability.
• All courses are subject to the club rules of the venues we operate in.
• It is your responsibility to make sure you have the correct membership of the venue the course operates in. 
• Bookings are refundable up to 14 days after purchase from Ace Coaching / OR 7 days into the start of term. Booking fee cannot be refunded. 
• You will be required to notify us of any medical conditions for anyone participating on our courses.
• You will require a current email address and emergency phone number to confirm bookings.
• We reserve the right to amend any terms and conditions within this document.

Payment:
You must book and pay in full for the course you wish to attend. Once payment is received unless you are contacted by a member of staff your place is confirmed. There are three ways to pay for Ace Coaching courses:

• Online (preferred)
• Monthly direct debit (optional)
• Bank transfer or cash (please email us)

Please note:  We do not store credit card details nor do we share customer details with any 3rd parties

Payment Guarantees:

Once registered on one of our coaching courses We can guarantee:

• You are assured of your place for the duration of the term.
• Ace Coaching reserve the right to cancel any session that is undersubscribed. If this occurs you will receive a full refund, unless you can move to an alternative day.
• The appropriate court space and equipment will be provided.
• The coach will provide a safe learning environment to the best of their ability.
• Ace Coaching will provide any relevant feedback to clients.

Cancellation & Weather Policy

• We are prepared to play in most conditions. Please always send your child in warm clothing and bring a raincoat along. If it is very wet, we will take the children indoors.
• If a coaching class is cancelled due to bad weather, we will post a weather update on our Ace Coaching social media channels at least 30 minutes before the start of the class.
• If a coaching class is cancelled due to bad weather, we will arrange a catchup class for your child to attend. 
• In some instances lessons may be cancelled due to bad weather after the lesson has begun. If less than 30 mins has been completed then we will arrange catchup classes for your child to attend.
• Any class cancelled due to coach unavailability will be refunded or credited at the end of the term
• Coaching will only be cancelled if the weather is deemed to be unsafe
• If you are absent for a coaching class you will not be entitled to a refund. You are welcome to attend a catchup class if arranged with the coach.
• If you cannot attend classes for an extended period of time, due to injury or unforeseen circumstances, you will be entitled to a refund. Please email to arrange a refund.

Catchup Policy

• If you miss a lesson due to absence you are welcome to attend a catchup class if arranged with the coach
• You can attend up to 3 catchup classes per term
• Catchups cannot be rolled over into a new term

Parking Policy

• It is your responsibility to familiarise yourself with the parking regulations at Cheam Sports Club
• If you get fined, please contact us at tennisamit@gmail.com
• We will try and get the parking ticket cancelled, but there is no guarantee as the system is managed by Cheam Sports Club

Holiday Camp Policy

• We are prepared to play in most conditions. Please always send your child in warm clothing and bring a raincoat along. If it is very wet, we will take the children indoors. If the weather is deemed unsafe to play or there is a severe weather warning we will cancel the camp and issue refunds. You'll be contacted prior to the camp starting if this is to happen.

General Policies

• Ace Coaching can accept no responsibility for loss, theft or damage to any personal items whilst on our courses.
• You should wear appropriate tennis or sportswear to coaching sessions.
• Only recognised non marking tennis shoes may be worn at Ace Coaching sessions.
• You are responsible for arriving on time for each coaching session. It is also your responsibility to be on time for collecting younger players, and communicating any changes in pick up methods to Ace Coaching.
• Lateness is not acceptable unless there is an unforeseen circumstance (such as bad traffic)
• Juniors under 5 must be accompanied by their parent/guardian when needing the toilet. Any player junior going to the toilet must ask for permission from the coach before leaving the court. Players under 13 must be accompanied by another player when going off court to the clubhouse. 
• Any aggressive actions, bullying, poor behaviour, or bad language (verbal/physical) towards our coaches, employees or clients will not be tolerated. 
• We reserve the right to decline access to anyone who does not comply with our policies. You will have no right to a refund in this case.
