Cancellations & Credits for Ladies Coach-led Session Explained

How will you be able to cancel your booking, and receive a credit? The following set of steps will show you how you can cancel your course booking. 

Step 1: You will need to login to your account on the Clubs Website, then select “Profile” then “Your Courses”

Step 2: Then click on 'View Course Details' the following will appear:

Here you will be able to view all the course details including when you can cancel to. Please remember that to receive a credit you will need to cancel at least 24 hours before and have notified the session organiser cringlefordtennis.membership@gmail.com or 07990 631535.

You can cancel by clicking on the red 'Cancel' button where the following overlay will appear:

Step 3:  Once you have clicked on the red 'Yes, cancel this booking' button in the bottom right of the overlay, your booking will be cancelled. Providing you have cancelled within the terms of the booking then you will receive a Credit to use for a future booking.

The course will now appear within your 'Cancelled courses' section (below). Please be aware that at the present time you will not receive a ‘confirmation of cancellation email’ (surprisingly this doesn’t happen with Clubspark yet!) but so long as you have notified the organiser that will suffice.

Credits

Administrators and Coaches apply credits to player accounts for CTC sessions only. These credits will be given in place of a refund or in case of issues like rain/weather or cancelled courses.

How to use Credits

  • Credits can only be used at the original venue the credit has been issued from.
  • Credits are not transferable to other venues
  • Credits can be used on bookings made on the Clubspark website for sessions at CTC.
  • Credits cannot be used for any LTA or NTA courses outside of CTC.

If the venue admin has given you a credit to use at the venue you should have received an email. The credit is already applied to your account ready to use once you login to your account.

When receiving credits to use in Coaching, you will be able to apply these to future Coaching within the credit expiration date.

Applying your Credits:

Once your account has been credited, you can apply these credits through the registration process for Coaching.

  • Search for a course you would like to register for and select the session(s) you would like to join, then click 'Book Now'. Make sure you are logged in. 
  • On the player details page, you will select the player and under the basket summary, the option to apply credits will automatically show. You can choose to use the credit or not. Depending on the cost of the course, the credit will cover part or all of the payment. 
  • Check the box next to "I want to use credit this time" and it will automatically apply to the total due.

Checking your Credits:

  • If you want to check the credits on your account you can do so by clicking on 'Profile'. At the bottom of the options, you will see "My Credits"
  • Here you will see current, used, cancelled and expired credits as well as the information such as the reason for the credits and the issue and expiry dates.

FAQs:

Q: What if I believe the credit is less than I think it should be? 
A: Please contact the venue that has applied the credit.

Q: What if I have issues using the credit? 
A: If you experience a fault in using the credit, you can reach out to Clubspark support team, please provide a screenshot of the error and details of the course you are attempting to apply the credit too. 
You can submit a question from the help centre. 

Q: Do I have to use all of the credit in one go? 
A: You have a choice to apply the credit or not, you can not select how much of the credit you wish to use. If the credit amount is MORE than the cost of the course, then the remaining credit will remain for future use. 

Q: What happens if my credit expires? 
A: Credits not used within 3 months will expire and are no longer valid.  

Q: What if I cancel a booking that I've used my credit with?
A: The credit will not automatically reimburse you with the credit. You will need to contact the venue admin to reimburse the credit if the cancellation falls within their policy.
