Club Rules

HAZLEMERE TENNIS CLUB - RULES
Approved 14th November 2018 

1. That this club be called “Hazlemere and District Tennis Club” (hereinafter referred to as “the Club”).  The object of the Club is to provide facilities for and promote participation of the whole community in the sport of Tennis.

2. The management of the Club shall be in the hands of the Committee.  A nominated member of the Hazlemere Parish Council is welcome to attend and observe Committee Meetings, if so requested by Hazlemere Parish Council.

3. The Committee, together with the President and the Auditor, shall be elected by the Club membership for the year at the Annual General Meeting which shall be held within ten weeks of the end of September each year. All senior members have equal voting rights.

4. An Extraordinary General Meeting may be convened by direction of the Committee, or by an application to the Club Secretary signed by not less than 10 senior members, stating the reason for the meeting. 

5. At least 14 days’ notice of the AGM shall be given by the Club Secretary. 

6. The Committee shall not exceed 15 members, including the ex-officio members and Club Captains. All Committee members, Trustees and cheque signatories shall satisfy the requirements of the HMR&C “Fit and Proper Persons” test and declare so prior to being elected. 

7. The Chairman, Vice-Chairman, Club Secretary, Fixtures Secretary, Membership Secretary and Treasurer shall be the ex-officio members of the Committee. Any vacancies during the year shall be dealt with by the Committee who shall be entitled to co-opt such Club Members as is deemed necessary for the efficient running of the Club. 

8. A quorum shall consist of 7 members for a Committee Meeting and 15 senior members for a General Meeting. 

9. Membership of the Club shall be open to all persons irrespective of ethnicity, nationality, sexual orientation, religion or beliefs; or of age, sex or disability except as a necessary consequence of the requirements of Tennis as a particular sport.  The Club may refuse membership or expel from membership only for good and sufficient cause, such as conduct or character likely to bring the Club or sport into disrepute. Appeal against such a decision may be made to the Club’s members and decided by a majority vote with an ultimate right to appeal to the LTA.

10. Membership fees shall be required to be paid within 28 days of their due date failing which the Committee may withdraw membership.

11. The Subscription levels for membership (whether annual or instalments) of the Club and the Visitors’ fees for the forthcoming year shall be recommended by the Committee at their meeting prior to the General Meeting and, if agreed at the AGM, take effect from 1st April each year.  The Income and Property of the Club shall be applied solely towards promoting the Club’s objects as set forth in this constitution and no portion thereof shall be paid or transferred, directly or indirectly, to the Members of the Club. 

12. Visitors shall be admitted by personal invitation of a member. The inviting member shall be responsible for collection of the appropriate visitor fee.  Any visitor shall be restricted to six visits in any one year.  Non-members attending private coaching session or organised group coaching/cardio sessions are required to pay the visitor fee. The coach leading the session must ensure that the fee is paid and pass it to the Club.

13.  Midweek members are entitled to play until 18:00 (Mon to Fri).  Junior members are those members who are under 18 years of age on 31 December of the current playing season.

14.  Block court bookings for inter-club matches and “Regular Events” as set out on the Club’s website take priority over individual members’ bookings.  These court allocations can be amended at the discretion of the Committee.

15. Members are required to wear clothing appropriate to the game of tennis. All members are expected to assist the Committee in maintaining a high standard of appearance and behaviour on the courts or premises of the Club. Proof of membership may be asked for and therefore must be available upon request. 

16. The last person leaving the courts shall return the Club equipment to the pavilion and leave the premises fully secured.

17. No play shall take place before 8.00 and after 22.00.

18. It is the duty of the Committee to see that the above rules are enforced. 

19. Any proposition concerning a change in the Club Rules shall be placed before the Annual General Meeting where a two-thirds majority of those present and not abstaining shall be required. 

20. Two members of the Club shall serve as Trustees of the Club. They will be elected by the Committee at the first Committee meeting following the AGM and will serve for that year. The Trustees of the Club shall have the power to borrow money for any purpose which will be for the benefit of the Club and of which the Committee approves.

21. In the event of the dissolution of the Club, any assets remaining after the satisfaction of all debts and liabilities shall not be paid to or distributed among the members of the Club, but shall be given or transferred to one or more of the following sporting or charitable bodies: 

  • A registered charitable organisation 
  • Another club which is a registered CASC 
  • The sport’s national governing body for use by them for related community sports.
