Processing your personal information
If you choose to give us personal information, such as your name, contact details, photograph and date of birth (for example to process an application or provide you with a subscription to our club) then this will be held and processed by Lymington Tennis Club (“the Club”) in accordance with the principles of General Data Protection Regulations (2018).
If you are a member of a team which plays in the league, your name will appear on the score card which is shared with the opposing team and the County LTA office. In addition, your name (and photo where provided) and your team’s performance history are visible on the Club’s public website under the “Teams” tab/page. However, your contact details are only available to members with a valid login and password.
If you do not play in a team (or if you are a junior member), your contact details are not visible or available to others. The Club’s database is only accessible to a limited number of Club Officials.
Use of your personal information
The Club may use your personal information for the following purposes:
- to perform the services you have requested (such as providing you with the benefits of Club membership or for providing you with information you have asked for) which may involve contacting you by post or e-mail;
- to allow the Club to administer its objectives, for instance playing in league matches, organising tournaments, box leagues etc;
- to perform the reasonable purposes of the Club, adhering to the principles of the General Data Protection Regulations.
When the Club emails its members, it uses the blind copy function, thus protecting the privacy of members’ email addresses.
If you choose to participate in, say, a Club tournament or box league, it is important that your contact details are made available to other participants. This is done by putting telephone numbers and/or email addresses on the Club noticeboard.
Sensitive or Medical personal information
On joining the Club or at any point during your membership you may wish to share pertinent information about your health, including any allergies or medical conditions. In the interests of your health and well-being, this information will be added to the Club’s database and shared with Club officials and coaches.
Consent
By submitting your personal information to us, you signify your consent to our using the information provided in the manner described above. If we amend our Privacy Policy, it will be published on the Club’s website and Noticeboard. If at any time you wish to update the information which we hold about you, or if you wish to stop receiving information from the Club, please contact the Membership Secretary by email.
Retention and Disposal of Records
We shall keep your records for as long as you remain a member of the Club and for a further 12 months after expiry of membership.
