Automated Waitlist Management System aka Minnie Bot

As you know, our sessions are popular and often have long waitlists. These work best when members respond quickly to notifications. To reduce the admin burden, waitlists are now fully automated:

Days leading up to a session: members have 24 hours to accept or decline. No response = automatic decline, and the next person is offered the spot.

The day before a session: members have 2 hours to respond before being dropped.

On the day of a session: members have 30 minutes.

Cancellations within two hours of the event will be handled manually by hosts. Waitlists are suspended during this period, as we focus on filling final spots as quickly as possible.

These rules apply only during 08:00–21:00 – nobody will be dropped overnight.

We also ask that members cancel at least 6 hours before a session to give others a fair chance. Last-minute cancellations make things much harder to manage.

Our aim is simple: to get as many fabulous queer folks playing as possible, while keeping admin to a minimum. 🌈🎾
