Extreme Weather Policy

The safety of our players and coaches is our highest priority. As coaching takes place outdoors, we must adhere to strict policies regarding extreme weather conditions. Please read the following guidelines on how we manage sessions during adverse weather to ensure everyone's well-being.
1. Decision & Communication Protocol

- Decision Time: A decision to cancel a session will typically be made 60 to 90 minutes before the session's scheduled start time.
- Communication Method: All cancellations or changes will be communicated via Email, WhatsApp, or Text Message to the primary contact provided during booking.
- No Message Means Go: If you do not receive a cancellation notice, please assume the session is running as scheduled.
- On-Site Cancellation: If weather conditions deteriorate rapidly, the coach reserves the right to cancel the session on-site to ensure immediate safety.
2. Weather-Specific Protocols

Thunderstorms & Lightning
Sessions are immediately cancelled or suspended if thunder or lightning is heard or seen near the courts. Players must seek immediate shelter. We will not resume coaching until 30 minutes after the last thunder or lightning strike is observed.

Heavy Rain & Wet Courts
Light/Drizzle: Coaching usually continues. Please dress appropriately.
Heavy Rain: If heavy rain makes visibility poor or courts are dangerously wet, the session will be cancelled to prevent slips and falls.

Extreme Heat (Above 30°C)
In cases of severe heat, sessions may be shortened, modified (focusing on low-intensity drills), or cancelled. Please ensure players bring plenty of water, wear hats, and apply sun cream. Breaks will be frequent and mandatory.

Cold Weather, Wind, Ice, & Snow
Low Temperature/Freezing: Sessions will be cancelled if the forecast temperature, or the "feels like" temperature (including wind chill), drops below **3°C (37°F)**. This threshold is set to protect players from cold-related injuries and ensure reasonable comfort.
Ice/Snow: Sessions are always cancelled if courts are icy, snow-covered, or deemed unsafe due to poor traction.
Strong Wind: High winds can be hazardous. If winds are deemed too strong for safe play or control of balls/equipment, the session will be cancelled.
3. Cancellation & Credit Policy

- Coach Cancellation: If a session is cancelled by the coach due to adverse weather before or during the session:
- The player will be issued a Credit for the full value of the missed session.
- This credit can be used toward a future session or term booking.
- Player Cancellation/No-Show: If the player chooses not to attend when the coach has confirmed the session is running, no credit or refund will be issued.
