Conditions of Membership

Conditions of Membership of Barley Tennis Association

  1. Barley Tennis Association is the organisation created by Barley Parish Council to handle the day-to-day usage of the courts for and on behalf of Barley Parish Council. The courts and the surroundings are owned and managed by Barley Parish Council and all matters concerning safety, insurance, security, repair, maintenance, inter alia, are the sole responsibility of Barley Parish Council even though they choose to delegate the general management of the courts to Barley Tennis Association. The Association may be known as the ‘Barley Tennis Club’ but it is not a club and members of the Association do not have the rights of membership usually associated with club membership. It is simply a delegated part of the Barley Parish Council. Even though you may be described as a "Member" there are no rights of membership as such except as set out below (or as amended from time to time).
  2. A key will be provided to the ‘family’ (group of one or more players/members of the association who have paid the fee) for a period as specified on the subscription application form, on payment of the subscription. The courts are to be used only by named members of that ‘family’ who have been ‘registered’ with Barley Tennis Association and who have their names recorded in the list of ‘families’ and players. The key is not transferable temporarily or permanently to any other person or ‘family’. All guests of members of the Association must pay the guest fee to be agreed each year. If the ‘family’ subscription includes children under the age of 11, then these children must be accompanied by a member of the Association who is 11 years of age or over when using the courts. An adult member of the ‘family’ (a member of the Association who is 11 years of age or over) whose key was used to get access to the court must be present within the vicinity (within line of sight) of the courts at all times while the court is being used.
  3. A key will be loaned by Barley Tennis Association to a ‘family’ together with a large coloured key fob which must be displayed prominently whilst using the courts – this ensures that the right to play can be established with minimum embarrassment. Each key will be individually numbered. The initial key will be loaned to the ‘family’ as part of the membership. The full costs of the key, fob plus an administration charge will be levied for any replacement keys should one be lost or be failed to be returned at the termination of membership of the Association. The key, together with its coloured key fob must be returned to Barley Tennis Association if the membership expires or is terminated for any reason whatsoever. The ‘family’ is responsible for their loaned key and the use of that key. Please note that these keys and fobs are expensive to replace.
  4. Usage of the courts must be booked in advance. It is perfectly acceptable for you to ‘arrive and play’ without previously booking the court but any player who has previously booked a court covering the time that you wish to play takes priority over your game and the other party can insist that you relinquish the court to them.
  5. Members must take all due care when using the courts and must follow reasonable safety procedures. Members are also responsible for ensuring that guests abide by these conditions. Any member of the Association may introduce guests to the Association, provided that no one whose application for membership has been declined or that has been expelled from the club may be introduced as a guest.
  6. Members must ensure that only clean tennis shoes or flat-soled trainers are worn. Ribbed trainers or Astroturf shoes are not suitable as these can apply high point loads which will damage the surface. Please use the mats or boot brush provided (as appropriate) to keep your footwear clean. If the approach to the court is likely to be wet or muddy, please ensure that you change into appropriate footwear once you are within the court so as to reduce the transference of mud or water to a minimum.
  7. Membership of the Association entitles you to play tennis or short tennis on the courts. Even though other games areas are marked out on the courts, membership only entitles you to play tennis or short tennis within the courts. Any other usage of the court MUST be approved in writing by the Committee of Barley Tennis Association. No ‘wheels’ are allowed on courts (except in the case of assisting disabled members or pushchairs or prams or buggies) under any circumstances whatsoever. To clarify this point, no wheels may be taken within the court’s fencing and all bicycles, scooters, unicycles, skateboards, roller-blades, skates, inter alia and every other type of wheeled device MUST be left outside the courts, expect for the above listed exceptions.
  8. Parents and/or Guardians remain fully and solely responsible at all times for their children when those children are using the surface unsupervised.
  9. Dogs are not allowed on the courts except when they are registered dogs for the blind and/or deaf.
  10. Any damage found to the surface or any other courtside equipment should be reported as soon as possible to a committee member.
  11. Unauthorised people may not take down the tennis nets. Playing of any other sport while the tennis nets are up is prohibited.
  12. Before use, the court should be swept clear of any leaves etc. The court should be left tidy after use. Nets should be slackened when not in use. The gate must be left locked when the last member leaves.
  13. The committee reserves the right to close the facility in the event of emergency maintenance or for health and safety reasons.
  14. Barley Tennis Association accepts no liability for loss or damage to property, or injury to persons, sustained during the use of the courts or associated equipment.
  15. Barley Tennis Association reserves the right to refuse access or to request the return of a key from any ‘family’ not abiding by the above rules. In such circumstances the subscription is non-returnable. The committee may expel any member who offends against the rules of the Association or whose conduct, in the opinion of the Committee of the Association, renders him/her unfit for membership of the club.
  16. Barley Tennis Association reserves the right to alter the booking arrangements and also to change these conditions as they see fit.
  17. Barley Tennis Association operates a smoke free policy. No smoking on the courts or in the Club Hut.
