Terms and Conditions

These Terms & Conditions outline the guidelines for all coaching sessions, bookings, and participation at WS Tennis & Padel Academy. They are designed to ensure a safe, fair, and enjoyable experience for all players while clearly setting out our policies and expectations.

 

Safeguarding

Please read the following carefully. By booking onto any of our coaching sessions or programmes, you agree to the following:

  • Participation in WS Tennis & Padel Academy coaching sessions is at your own risk, and all players are expected to follow coaching and safety guidelines at all times.
  • You give consent for photos and/or videos to be taken during sessions for promotional purposes. Any images used will not include personal contact details and will follow current data protection guidelines. If you do not wish to be included, please message Will Smart via WhatsApp (07939921313) or speak to a member of the coaching team.
  • In the event of an emergency where immediate treatment is required and consent cannot be obtained, you authorise WS Tennis & Padel Academy to act in the best interests of the participant.
  • Your personal data will be stored securely and handled in accordance with current Data Protection regulations.

 

Behaviour

Please read the following carefully. By attending any WS Tennis & Padel Academy session, all players are expected to follow these behaviour guidelines to ensure a positive, respectful, and enjoyable environment for everyone. All players are expected to follow coaching instructions carefully, listen to demonstrations/feedback given by a coach, and treat coaches, other players, and the club environment with respect at all times.

If behaviour falls below our expected standards, our coaches will follow a clear and fair 3-step approach:

  1. Warning – The player will be reminded of the expected behaviour and given the opportunity to correct it.
  2. Time Out – If behaviour continues, the player may be asked to sit out of an activity or for a period of time to reset.
  3. Removal from Session – If there is no improvement, the player may be removed from the session, and parents/guardians will be informed.

Our aim is always to manage behaviour in a positive and supportive way, helping every player learn and enjoy their time on court.

 

Payments

Refunds

Once a payment has been made via ClubSpark, we are unable to issue a refund to any players. This policy applies to the following; Junior Coaching Sessions, Adult Coaching Sessions, Holiday Camps, Private Lessons, Matchplay events, and Stringing Services. 

In exceptional circumstances including a serious injury, medical condition, or berevement that prevents participation for an extended period, a ClubSpark credit may be issued providing appropriate evidence supports this. 

Full payment is required for a term in advance to reserve a place in a group session. No refunds will be issued for non-attendance at a group lesson. 

Cancelled sessions - Wet weather or Coach Absence

Please read the following scenarios carefully:

  • In the event of wet weather, the decision to cancel the lesson will be made by the lead coach no less than 30 minutes prior to the lesson start time. If the session is cancelled less than 30 minutes prior to the lesson start time, you are eligible for a ClubSpark credit. 
  • Cancellation of one lesson does not mean all other sessions will be cancelled that day. 
  • Where possible, all coaching sessions and holiday camps will take place indoors using the squash courts. If you choose not to attend because the session has mvoed indoors, no refund or credit will be issued. 
  • If a session has been cancelled due to poor weather conditions or coach absence BEFORE the start of a session, all players in the session will be issued a credit via ClubSpark. This credit will expire 6 months from the date of issue and can be redeemed at the checkout on any future coaching course, holiday camp or matchplay event. 
  • If a session has been abandoned due to poor weather conditions DURING a session, a credit will only be issued if LESS than half of the lesson has been completed. If MORE than half of the lesson has been completed, a credit will NOT be issued but the coach will attempt to make up for this missed time at the beginning or end of the next scheduled lesson.
    • Example: If a session is 60 minutes long and 45 minutes of play was completed before the session was abandoned, no credit will be issued but the remaining 15 minutes will be made up for on a session later in the term. 
    • Example 2: If a session is 60 minutes long and 10 minutes of play was completed before the session was abandoned, a credit will be issued. 

Changes to Lesson Schedules

From time to time changes may be made to our weekly timetable. This may include cancelling or adding group sessions, or adjusting the day or time of a session. While we may not always be able to update printed materials, we will ensure the most up-to-date information is available on our website.
