Terms & Conditions
Last Updated 22nd September 2021
The following are the Terms and Conditions of Service for amherstcoaching.co.uk.
All customers are required to accept these Terms and Conditions of Service prior to participation in all coaching sessions.
'We' in the following Terms and Conditions refers to amherstcoaching.co.uk and, where appropriate, the individual coaches in the Amherst Coaching team.
We may, from time to time, review and update these Terms and Conditions, and reserve the right to amend or introduce any rules necessary to ensure the safe and efficient operation and financial viability of the coaching programme.
Payments And Refunds
Full payment is required in advance to reserve a place in Junior Development and Academy group programmes.
No refunds will be given for non-attendance at group lessons.
A refund or credit may be available if you have a valid medical reason which prevents you/your child from attending three or more classes in a row.
Junior Development and Academy coaching groups are invitation only – after a coach assessment during a trial / pay and play session or individual lesson, a booking link will be sent by e-mail if an appropriate group can be found.
Weekend Adult Coaching Groups are bookable online at this link -
https://clubspark.lta.org.uk/amherstcoaching/Coaching/Adult
If a payment option is not available for a group session at amherstcoaching.co.uk, contact the individual coach who runs the session for booking and payment information.
Non-member fees are currently charged for all individual and group lessons at £1 per session and collected by the coach on behalf of Amherst LTC.
Private Lessons And Groups
Private lessons and groups can be arranged with individual coaches, provided that they are scheduled to fit within the Club Play Schedule and Coaching Programme and have the approval of the Head Coach and Club Committee.
A cancellation fee (half of the lesson cost) will apply for private lessons unless 24 hours’ notice is given. Please call your coach to cancel a lesson.
Public Holidays And Long Weekends
Group lessons will generally go ahead on Saturdays and Sundays during long weekends (i.e. when there is a Public Holiday on Friday or Monday).
Coaches may be available for private lessons on Public Holidays.
Wet Weather
On wet days, the decision about whether to cancel group lessons will be made at the courts immediately prior to the lesson start time.
Cancellation of one group lesson does not necessarily mean that other lessons will be cancelled that day. Some lessons may take place indoors, inside the clubhouse. If you choose not to attend on doubtful days then you risk missing the class if it takes place.
Any junior classes cancelled will be made up at the end of the term or the week prior to the start of the next term. If it is not possible for us to run a make-up class due to term dates/weather, we will offer a refund for sessions missed.
On extremely wet days, we may try to contact you before your lesson time to cancel.
For private lessons, please call your coach to find out if your lesson will go ahead.
Junior Academy lessons will always take place if rain stops play - we can continue in the clubhouse with goal setting, mental skills, video lessons, technical / tactical sessions etc.
Safeguarding And Supervision Of Juniors
All coaches on the Amherst Coaching Team follow the LTA Safeguarding guidelines and are trained in Safeguarding issues and DBS checked.
Details of the Amherst LTC Safeguarding policy can be found through the membership section of the tennis club website -
https://clubspark.lta.org.uk/AmherstTennisClub/Membership/Safeguarding
Parents are asked to be sensitive to safeguarding policies at all times concerning other children and vulnerable adults.
Coaches are not responsible for supervising children outside of lesson time. This does not include Junior Club / Matchplay sessions when a coach will supervise during the stated hours.
Changes To Lesson Schedules
Occasionally we may have to make changes to our published schedule, including cancelling a published group lesson, creating an additional group lesson, or changing the day/time of a group lesson. In such cases we will do our very best to keep the schedules up-to-date on our website and the tennis club noticeboard.
If there are insufficient enrolments by the end of Week 1 of a school term for a scheduled group lesson to be viable, we may cancel that group for the term.
Anyone who has already enrolled a child in a scheduled lesson that is subsequently cancelled or changed will be offered alternative time slots or given a full refund.
Photos And Videos
By participating in the Amherst coaching programme, you agree to having your/your child’s photograph taken by the coaching team at any time whilst taking part in the sessions. We reserve the right to use any such photographs for amherstcoaching.co.uk and Amherst LTC press and/or promotional purposes.
We reserve the right to use photographs and video as a legitimate part of coaching tennis for technical / tactical / physical and mental development. Any photographs and video used for this purpose may be stored to provide records of coaching and improvement over time. If you have any concerns we may ask if we can use your / your child's phone to capture and store footage for coaching development. We reserve the right to share coaching footage to help others to learn tennis. If you have any questions or concerns about the use of footage for coaching, please email us at info@amherstcoaching.co.uk.
If you find an image or video of your child on our promotional channels (such as our website and social media pages) that you’d like us to remove, please email us at info@amherstcoaching.co.uk and we will do so immediately.
Health
You confirm that you/your child does not suffer from health problems that would hinder exercise or prevent you/your child from engaging in exercise, or that would be detrimental or adverse to you/your child’s health, safety or physical condition if you/your child did exercise. In case of any doubt, you shall seek advice by a medical doctor who should confirm the ability to exercise.
We shall have no obligation to perform a fitness assessment or similar testing to determine your/your child’s physical condition.
Disputes
Where possible all disputes will be prevented by open and honest communication between player, parent and coach. Where this is not possible, please put your dispute in writing to Pete at info@amherstcoaching.co.uk highlighting the issues you wish to raise. We will then investigate the dispute and put in place processes to solve the dispute, which may include involving the tennis club committee.
Liability
We, amherstcoaching.co.uk and the individual members of the Amherst Coaching Team, cannot accept liability for any claims, damages, costs and demands in respect of death or personal injury arising from the use of the Amherst LTC premises and participation in our sessions by the customer pursuant to this agreement except insofar as such death or personal injury arises from negligence on the part of the the individual coaches in the Amherst Coaching Team.
We cannot accept responsibility for the loss of or damage to personal property incurred whilst on the premises.
Miscellaneous Terms
In the event that a single term, condition or rule of membership is found to be unenforceable, all other terms, conditions and rules shall remain unaffected.
If we take no action or let you off any breach of this agreement or give you extra time to pay or comply, it will not stop us enforcing the terms of this agreement strictly at a future date.
You agree that your first and last name/your child’s first and last name may be shared with Amherst LTC for the purpose of confirming to the club who has access to their premises.
Guidelines For Players, Parents And Coaches
Players
We expect players to be polite and respectful of coaches, other players and members whilst at the club. Generally, because we expect such high standards of behaviour, issues involving disciplinary action are very rare but should they arise, any issues will be dealt with by the Head Coach and the Club Committee.
Junior Academy Players are expected to set an example and be role models for other junior players at the club by -
- Joining Amherst LTC and keeping their Amherst LTC membership up to date.
- Training, Learning and Competing with a positive attitude.
- Helping coaches, club members and other players where possible.
- Prioritising playing for club teams if asked.
- Organising matchplay and practice outside of Academy session time.
- Being a student of the game – learning independently.
- Competing whenever possible in appropriate internal and external competitions, tournaments and events.
- If awarded Senior Status at the club, to be especially careful of their behaviour and respectful to all senior club members, both on and off-court.
Parents
We appreciate that supporting and advising parents is absolutely key from an early age. We ask for your support by considering these guidelines -
- Praise effort over outcome and always look for the learning - Growth Mindset.
- Encourage independence by not watching every training session and match.
- Encourage your child to show respect and appreciation for others in a sports environment.
- Help to develop responsibility and confidence by giving choice and asking open questions about their experience.
- Look for positives and reinforce these as much as possible.
- Trust that they will thrive in a positive learning environment.
- Encourage intrinsic motivation by helping your child to feel competent, autonomous and related (feeling that they belong as part of their tennis group and the wider local tennis family).
- Help them to become students of the game – even if that means watching tennis on YouTube or playing a tennis video game!
