Club House Key Holder’s
Terms and Conditions Ver 2.0 Date 22/04/2024
As a small club, we do not have any reception personnel, cleaners or members in attendance at the Club House. We would like to open the Club House to all members and guests at all times, but for security reasons, to ensure safe-guarding for our members and the courts being a distance away, we must enforce a strict use of the Club House.
As such, we will issue keys to members only on request. When someone is issued with a key* they will become a Key Holder*.
The Club House is opened to members and guests only when a Key Holder is present. Key Holders are responsible for child safety, fire safety and general behaviour of people present. They are also responsible for the cleanliness and security of the premises after use.
Before applying for a key, you should be aware of these responsibilities and the Terms and Conditions.
Who can hold a Key
All CCTC Committee Members and Team Captains are entitled to a key (at no cost).
Colden Common accredited coach can request a Guest Key.
Registered Adult Members (16+) can apply for a Guest Key. The cost is £5 per key.
We will make a limited number of keys available, so there may be a waiting list. And as such, you should consider whether your request is essential and you will make frequent and regular use of the facilities.
Club House Rules and your responsibility
As a key holder you will be responsible for the behaviour and welfare of anyone that you invite into the Club House and you must strictly adhere to the conditions of use. These conditions are for your protection as well as others.
You must observe the Colden Common Tennis Club Safeguarding Policy. This can be found on the Club website under “Your Welfare” Colden Common Tennis Club / Welfare Policies and Safeguarding (lta.org.uk) or request a copy from the club. You are not obliged to hold a DBS certificate, but you must report any suspicious behaviour to the Welfare Officer (contact posted in the Club House).
If you are the first person to open the Club House, you must inspect the Club House and report any concerns immediately to a member of the Club Committee (contact details posted in the Club House). You should inspect general tidiness, the fridge, fire equipment/alarm and first aid kit.
You are free to use any equipment provided, such as kettle, fridge and crockery etc. All crockery and equipment must be cleaned and wiped dry after use. All your belongings should be removed, including items from the fridge when you leave.
No-one, including adults should be left unsupervised, without you or another Key Holder present.
Children under 16 must be under supervision of their coach, parents or guardian at all times.
Dogs and Pets are not allowed in.
In case of fire or emergency, you must know the location of the medical kit, the fire action procedure as posted in the Club House.
When you are last to leave, you must ensure the lights are turned off, heating turned down (7°), doors and windows securely locked.
Terms and Conditions
The door is fitted with a Yale Smart Door Lock (SDL) which can be opened with a physical electronic tag or a Virtual Key* via a smart phone app. We will only issue (shared) the Virtual Key*.
Therefore, you will need to have a smart phone with Bluetooth enabled and the Yale Home App installed and registered with your email address and phone number (best to use a google account @Gmail.com).
A one-off fee of £5 is charged for each key. The fee is for the lifetime of your membership and is not refundable.
Physical Tags or Fobs (Card Tag, Key Tag, Stick to Phone etc) will only be issued on very special request. Additional conditions will apply:
Lost Tags must be reported immediately to the Club.
Lost Tags will not be replaced. A new request must be submitted and a new payment made.
Fobs must be returned when your membership has expired/cancelled or requested by the Club.
In no circumstances are you allowed to “lend” your key to anyone else.
If you no longer wish to hold a key, you should inform the Club so that we can reallocate the credential.
Your key will be deleted if your membership expires and not renewed.
The committee reserves the right to withdraw a Key Holder at any time.

All requests for a key, including Committee Members, Team Captains and coaches must be submitted to the CCTC committee.

As a Key Holder, I am responsible for the safety and behaviour of all people I invite into the Club House.
I am responsible for the security and cleanliness of the Club House. When I leave and there is no other Key Holder present, I must ensure that Club House is tidy, clean and securely locked.
I understand that the Club has the right to withdrew my key at any time.
Once your request has been accepted, we will send the payment details (if fee required) and then a Key invite to your Yale Home App (you than tap Shared Keys and accept invite).
