Why This Matters

Safe storage & security

Stored court-side in a heavy-duty lockable wooden bench, secured with padlock.

Prevents theft, tampering, or brute-force entry.

Health & Safety

Adults only (18+). Mandatory induction before first use. No juniors unless supervised by adult.

Insurance and liability risk: moving parts, electrical kit, and projectile balls present hazards.

Usage fairness

Online booking system with session limits (max sessions per period, 1–2 hours per session).

Prevents monopolisation and keeps access fair for all paying members.

Court allocation

Machine may only be used on Court 4.

Flying balls don’t disrupt play on other courts. Reduces risk of damage when moving machine between courts.

Loss of balls

Users must collect all balls after their session and return them. Hopper count checked by next user.

Keeps costs down and avoids disputes.

Charging between uses

Removable battery placed in fixed clubhouse charging point after every use. 

Ensures machine is ready for the next user; avoids flat-battery disputes.

Risk of damage

User is responsible during their booked slot. Members asked to report any issues immediately.

Clarifies accountability and protects club from repair costs.

Damage / ball loss tracking

Ball Machine set up as its own bookable resource in Clubspark.

Ensures full traceability of who had the machine, when, and what condition it was in.

Misuse / abuse

Sanctions policy: first breach = warning; repeated breach = temporary suspension; serious breach = loss of access.

Keeps behaviour consistent and protects the investment.

Insurance liability

Use is at member’s own risk.

Protects club and committee members from personal liability.

Enquiries & oversight

Terms of use forbid sharing codes, keys, or storage details. All queries directed to committee.

Keeps control central, avoids misinformation, and prevents misuse.
