Terms and Conditions
These Terms and Conditions govern all coaching services provided by Baseline Edge Ltd ("we", "us", or "our") to individuals ("you" or "the participant") enrolling in tennis lessons, including group and individual sessions, at local parks, clubs, and indoor venues.
1. Bookings
Bookings must be made in advance via ClubSpark.
Spaces are allocated on a first-come, first-served basis and are only confirmed once payment has been received.
Participants must provide accurate personal and medical information relevant to participation.
2. Payment
All lessons must be paid for in advance. No place will be reserved without full payment.
Payment can be made online at the time of booking on the ClubSpark website, via bank transfer, debit/credit card, or other accepted methods listed on our booking platform.
For block bookings, payment is due in full before the start of the first session.
3. Cancellations and Refunds
3.1 By the Participant:
Individual Lessons: A minimum of 24 hours' notice is required to cancel or reschedule. Cancellations with less than 24 hours' notice will be charged in full.
Group Lessons / Courses: Missed sessions cannot be refunded or rescheduled unless notice is given at least 48 hours before the course begins. Partial refunds are not available for missed sessions during a block booking.
3.2 By the Provider:
If we cancel a session for any reason (e.g., illness, unavailability of venue), a full refund or credit will be offered.
In the event of unforeseen circumstances such as coach illness or venue closure, we will make every effort to reschedule or provide a suitable replacement coach.
4. Bad Weather Policy
Outdoor sessions may be cancelled due to adverse weather (e.g., heavy rain, thunderstorms, unsafe court conditions).
We aim to notify participants at least 1 hour before the session start time via SMS, email, or WhatsApp. Cancelled sessions due to bad weather will be either rescheduled, credited toward a future session, or refunded if rescheduling is not feasible.
5. Non-Attendance
No refunds or credits will be given for non-attendance unless valid notice is provided in line with the cancellation terms above.
It is your responsibility to attend booked sessions on time and at the correct venue.
6. Block Bookings
Block bookings must be paid in full in advance.
Sessions must be used within the designated time frame (e.g., within the school term or 6 weeks from the first session).
Unused sessions are non-transferable and non-refundable, except under exceptional circumstances at our discretion.
7. Tennis Holiday Camps Terms
7.1 Bookings
Camp places must be booked and paid for in advance through our booking platform (e.g., ClubSpark).
Spaces are allocated on a first-come, first-served basis and are only confirmed once payment has been received.
You must provide accurate personal and medical information at the time of booking.
7.2 Payment
All holiday camp bookings are non-refundable and non-transferable.
Payment must be made in full at the time of booking.
7.3 Cancellations and Refunds
7.3.1 By the Participant:
Once confirmed, holiday camp bookings cannot be refunded or transferred.
In exceptional cases (e.g., medical reasons supported by evidence), credit may be issued at our discretion.
Missed days during camp cannot be refunded, rescheduled, or credited.
7.3.2 By the Provider:
If we are required to cancel a camp day (e.g., due to coach illness, venue closure, or other unforeseen circumstances), a full refund or credit will be offered.
In adverse weather, we will aim to deliver indoor or alternative activities. If this is not possible, credit may be provided.
7.4 Attendance and Responsibilities
Parents/guardians are responsible for ensuring participants arrive on time and are collected promptly at the agreed times.
Repeated late collection may result in additional charges or refusal of future bookings.
We do not provide supervision before or after camp hours. Participants remain the responsibility of their parent/guardian outside of scheduled camp times.
Children must be appropriately dressed for sport (sportswear, non-marking trainers) and must bring sufficient water, snacks, and sunscreen (if applicable).
7.5 Health, Safety, and Welfare
All participants take part at their own risk. You must inform us of any relevant medical conditions, allergies, or additional needs before camp begins.
We reserve the right to contact parents/guardians immediately if a child becomes unwell, injured, or unable to participate.
In the event of illness or injury, staff will follow first aid protocols and contact you using the emergency details provided.
7.6 Safeguarding
All staff working on holiday camps are DBS-checked and follow safeguarding best practices.
Appropriate coach-to-player ratios will be maintained at all times.
Children must be signed in at drop-off and signed out at collection by an authorised adult.
We reserve the right to remove any participant from camp if their behaviour is unsafe, disruptive, or inappropriate. No refund will be given in such cases.
7.7 Code of Conduct
Participants are expected to behave respectfully, follow coach instructions, and treat others with kindness.
Unsafe, disruptive, or inappropriate behaviour may result in removal from camp without refund.
7.8 Liability
We accept no responsibility for loss or damage to personal belongings brought to camp.
We are insured for public liability. Personal insurance remains the responsibility of the parent/guardian.
7.9 Photography and Media
We may occasionally take photos or videos during camp for promotional purposes. Consent will be requested during registration.
You may withdraw consent at any time by notifying us in writing.
8. Seasonal Schedule Changes (Winter Schedule)
Please note that due to earlier park closing times during the winter months, certain weekday afternoon sessions will follow a winter schedule from October to March.
- September - Sessions will run on Tuesday and/or Wednesday afternoons as usual.
- October to March - These sessions will be moved to Sundays.
- From March onwards - Sessions will return to their regular Tuesday and/or Wednesday afternoons.
Participants will be notified in advance of these seasonal changes. By booking, you agree to these adjustments.
9. Notice Period for Withdrawal
For ongoing programs or term-based lessons, a minimum notice of 2 weeks is required before withdrawing, to allow for planning and to offer the space to other participants.
10. Communication
All official communication will be via email, phone, or WhatsApp (if opted in).
It is the participant's responsibility to keep contact details up to date and regularly check messages for any session changes or cancellations.
In emergencies, we will attempt to contact you on the number provided during booking.
11. Health and Safety
All participants take part at their own risk. You must notify us of any relevant medical conditions prior to participation.
Participants are required to wear appropriate sportswear and non-marking trainers.
Children must be dropped off and collected promptly. We do not provide supervision outside of designated-lesson times.
12. Code of Conduct
Respectful and positive behaviour is expected from all participants at all times.
We reserve the right to remove any participant who displays disruptive, unsafe, or inappropriate behaviour, without refund.
13. Liability
We accept no responsibility for loss or damage to personal property during lessons.
We are insured for public liability, but you must ensure personal insurance if required.
14. Photography and Media
We may occasionally take photos or videos during sessions for promotional purposes. Consent is requested during registration.
You may opt out at any time by notifying us in writing.
15. Amendments
We reserve the right to amend these Terms and Conditions at any time. The most current version will be available on our website or by request.
By booking a session, you confirm that you have read, understood, and agree to these Terms and Conditions.
