General Data Protection Regulation (GDPR) and Privacy Policy

 

The law on general data protection regulation (GDPR) changed substantially in 2018. Accordingly, Great Massingham Tennis and Multi-sports Club adopted the following policy. 

 

The Club holds a database of personal details comprising information provided by our members so they may properly engage with the club.  This information is given to us when members complete the membership form.  This includes date of birth, address, email and other contact information.

 

The Club follows the guidance of the LTA in its adherence to the requirements of the General Data Protection Regulation.

 

This information will be used only for the legitimate interests of the Club such as:

  • to solicit membership renewals,
  • to advise of club activities including coaching opportunities, tournaments and Tennis Weekends,
  • to invite participation in General Meetings and the election of committee members,
  • to invite participation in Club organised social events,
  • given our close relationship with the Village Hall, to invite participation in events at the hall,
  • for fund-raising,
  • to encourage opting-in for the Wimbledon ballot,
  • to encourage participation in the playing of tennis at the Club and other venues,
  • to contact members in case of an emergency.

 

The Club encourages all its members to become British Tennis Members and to opt-in for the Wimbledon Ballot.

 

The Club will not pass or sell the information in our database to any other party.

 

The Club relies largely on the use of email, through ‘Clubspark’ (an LTA endorsed sport management software package) to communicate with its members.   The Club follows good practice in its use of email, for example using BCC for emails sent to all members. 

 

In providing the Club with contact details, members are deemed to give consent for the Club to use this information for the legitimate business of the Club as indicated above.

 

Members may ask at any to see, correct or delete the information held about them by the Club and may at any time ask the Club to remove not to contact them, for example, by unsubscribing from emails.  The Club will not retain information it no longer needs.

 

The information will be held on password protected computers protected by up-to-date anti-virus software.

 

Bearing in mind the simplicity of our database, the use to which it is put and guidance from the LTA the Club does not have a Data Protection Officer but all committee members are aware of this policy and key points of the LTA guidance on the General Data Protection Regulation.
