Definitions:
We – Ace Coaching
You/Your/Our – Our clients
Bookings:
At Ace Coaching, we require you to reserve Your place on our courses by booking online. Go to our website and follow the booking links.
- Junior classes are open to players aged 3-17
- Adult classes are open to players aged 18 and over

Booking Conditions:
- All course bookings are subject to availability.
- All courses are subject to the club rules of the venues we operate in.
- It is your responsibility to make sure you have the correct membership of the venue the course operates in.
- Bookings are refundable up to 14 days after purchase from Ace Coaching / OR 7 days into the start of term. Booking fee cannot be refunded.
- You will be required to notify us of any medical conditions for anyone participating on our courses.
- You will require a current email address and emergency phone number to confirm bookings.
- We reserve the right to amend any terms and conditions within this document.
Payment:
You must book to join our programme. Once payment is received unless you are contacted by a member of staff your place is confirmed. There are three ways to pay for Ace Coaching courses:
- Monthly direct debit (preferred)
- Online (optional)
- Bank transfer or cash (please email us)
Please note: We do not store credit card details nor do we share customer details with any 3rd parties
Payment Guarantees:
Once registered on one of our coaching courses We can guarantee:
- You are assured of your place for the duration of the term.
- Ace Coaching reserve the right to cancel any session that is undersubscribed. If this occurs you will receive a full refund, unless you can move to an alternative day.
- The appropriate court space and equipment will be provided.
- The coach will provide a safe learning environment to the best of their ability.
- Ace Coaching will provide any relevant feedback to clients.
Cancellation & Weather Policy:
Weather Cancellations
- We are prepared to coach in most weather conditions. Please ensure your child arrives in warm clothing and brings a raincoat. In the event of heavy rain, players will be moved inside the sports club main building.
- Coaching will only be cancelled if weather conditions are deemed unsafe, with the health and safety of players and coaches as our top priority.
- If a class is cancelled due to bad weather, a weather update will be posted on Ace Coaching social media channels at least 30 minutes prior to the scheduled start time.
- Credit will be offered for missed classes due to weather
Coach Unavailability
- Any class cancelled due to coach unavailability will be refunded or credited at the end of the term.
Extended Absence
- If you are unable to attend classes for an extended period due to injury or unforeseen circumstances, you may be eligible for a refund or credit.
- Please email us to discuss and arrange any refunds related to extended absences.
Catchup Policy:
- If you miss a lesson due to absence you are welcome to attend a catchup class if arranged with the coach
- You can attend up to 3 catchup classes per term
- Catchups cannot be rolled over into a new term
Parking Policy:
- It is your responsibility to familiarise yourself with the parking regulations at Cheam Sports Club
- If you get fined, please contact us at tennisamit@gmail.com
- We will try and get the parking ticket cancelled, but there is no guarantee as the system is managed by Cheam Sports Club
General Policies:
- Ace Coaching can accept no responsibility for loss, theft or damage to any personal items whilst on our courses.
- You should wear appropriate tennis or sportswear to coaching sessions.
- Only recognised non marking tennis shoes may be worn at Ace Coaching sessions.
- You are responsible for arriving on time for each coaching session. It is also your responsibility to be on time for collecting younger players, and communicating any changes in pick up methods to Ace Coaching.
- Any aggressive actions, bullying, poor behaviour, or bad language (verbal/physical) towards our coaches, employees or clients will not be tolerated.
- We reserve the right to decline access to anyone who does not comply with our policies. You will have no right to a refund in this case.
