Coaching Package

Introduction
All Elmbridge Park Tennis venues are officially registered with the LTA. We offer a range of coaching packages and general hire passes designed to maintain safeguarding standards in line with the LTA and ensure fair access for both businesses, community groups and players.
The opportunity:
Elmbridge Borough Council is inviting applications from LTA Level 3 (or higher) accredited tennis coaches to run their own coaching businesses at the following sites:
- Esher Civic Centre (2 court site)
- Cobham recreation ground (2 court site)
Expectations of coaching providers
Successful coaches are expected to:
- Support Council and LTA initiatives where appropriate
- Provide inclusive tennis opportunities, including for players with disabilities
- Deliver and manage a sustainable coaching programme across selected sites
- Submit basic termly programme data (Spring, Summer, Autumn) to the Council
- Offer an engaging and accessible coaching programme for players of all ages and abilities
Programme minimum requirements:
- 1-hour free community session per week during term time
- Weekend coaching sessions for youth and adult players during term time
- Holiday group sessions during: Easter (minimum 1 week) and Summer (minimum 2 weeks)
Packages:
Each package includes the minimum programme requirements and 1 additional free hour per week (the "+1").
- Fee: £875 per year, per site
- Agreement: 1+2 year agreement
- Hours: 10 hours a week + 1 free community hour
- Upgrade: Allowed at any time; downgrade not permitted
- Other terms: minimum programme requirements, as listed above
- Programme Allowance: 70% group sessions / 30% private lessons
- Fee: £1,000 per year, per site
- Agreement: 1+2 year agreement
- Hours: 18 hours/week + 1 free community hour
- Other terms: minimum programme requirements, as listed above
- Programme Allowance: 70% group sessions / 30% private lessons
- Upgrade: Pay the difference in the upgrade year; £1,000/year thereafter
- Fee: £1,250 per year, per site
- Agreement: 1+2 year agreement
- Hours: 24 hours/week + 1 free community hour
- Other terms: minimum programme requirements, as listed above
- Programme Allowance: 70% group sessions / 30% private lessons
- Upgrade: Pay the difference in the upgrade year; £1,250/year thereafter
- Fee: £1,500 per year, per site
- Agreement: 1+2 year agreement
- Hours: 30 hours/week + 1 free community hour
- Other terms: minimum programme requirements, as listed above
- Programme Allowance: 70% group sessions / 30% private lessons
- Upgrade: Pay the difference in the upgrade year; £1,500/year thereafter
Case Study
A coach started with the 10+1 Package at one site to test demand. Due to high interest, they upgraded to the 18+1, added a second site, and eventually moved up to the 30+1 Package to meet growing demand. They also run a successful free weekly adult intermediate social session every Friday lunchtime.
The hour community session
Coaching providers must deliver 1 free hour of coaching per week during term time. This session helps:
- Introduce new players to tennis
- Promote your wider coaching programme
- Provide access to those who may not afford lessons

- Adult Intermediate Social
- Disability Tennis
- Cardio Tennis
- Supervised Play / Social Tennis
- Team Challenge & Recreational Match Play
Court Use Guidelines
- Subletting court time is not permitted
- Coaches are entitled to the number of weekly hours as per their agreement
- At least one court must remain available for public use at all times, unless prior written permission is granted by the Council
Additional Support + Benefits
- Adavnced/repeat bookings arranged by the Council team
- Regular liaison with Elmbridge Council’s Sports & Health Team and the LTA
- Exclusive endorsement as the Council’s preferred coaching provider at your site
- Promotional support, subject to agreement to support the providers own marketing and promotion
Supplementary Information:
- Head Coach must be LTA Level 3 or above, with all coaches LTA Accredited
- Park courts are non-floodlit, and subject to weather and environmental conditions
- Contracts are initially for 1 year, with an option to extend for 1–2 years, after review
- The Council is flexible with regards to the successful application being a sole coach or a team of coaches
- No court maintenance is required from providers (Council contractors maintain courts), but coaches are expected to keep the courts tidy and report any issues
- PlayBall (Oatlands, Coronation Rec) and Claygate Netball (Esher Civic Centre) have fixed bookings. Coaching providers must avoid scheduling conflicts and ensure one court remains free. Timetables available upon request
The successful provider/s
- Be lead by an LTA Accredited Level 3 or above
- All members of the coaching team LTA Accredited
- Be inclusive, enthusiastic, reliable, and well-organised
- Have experience delivering inclusive community-based coaching
- Communicate effectively and maintain a positive relationship with the Council

Applications are based on quality and must include:
- An indication of which venue you are applying for.
- An indication of the pass you are applying for and the pass dates.
- Full details outlining the coaching programme, including court hours.
- Proposed coaching timetable, showing 70% of groups & the free weekly community activity
- Full details of the proposed free weekly 1 hr activity, which will then be agreed with the Council
- Coaches names to be included on the timetable for each session
- Details on how players find and book onto groups/sessions.
- Sample or screenshot of the booking form, depending on how players book.

Application Review Information
- Applications for sites will be reviewed on a first-come, first-served basis.
- Approval of coaching packages is at the sole discretion of the Council and will be based on the quality of the application, how well it meets the eligibility criteria, and any previous history with the Council or past use of passes.
- Important: Applicants whose previous submissions were declined may not be considered for future applications. The Council reserves the right to take previous application history into account when reviewing new submissions.
- Please note: We do not accept resubmissions once an application has been scored and a final decision has been made. It is the applicant’s responsibility to ensure that all required documents are included and meet the necessary standard to support your application.
- Applications are assessed against a scoring framework. A minimum standard must be met in order to be considered. Meeting this threshold does not guarantee approval, as other factors such as previous conduct or strategic fit, may also be taken into account and the Council reserves the right to use discretion in making final decisions.
Post-Approval Process
If your application is successful:
- You’ll receive confirmation and an agreement to sign
- An invoice will be issued by the Council’s Payments Team
- Payment is required in advance (or as agreed)
To raise your invoice, you must provide (on headed paper):
- Company name
- Invoice address
- Contact email and phone number
- VAT registration number (if applicable)
- Bank details
- Payment terms (days)
