Club Terms & Conditions 2026

MEMBERSHIP 

Our membership year runs from 1st March to 28/29th February.  Winter membership runs from 1st September to 28/29th February.  For details of current membership options and rates please refer to the website or get in touch.  Membership fees will be reviewed annually. 

Membership fees are payable by 1 March for annual membership and by 1 September for winter membership, or upon acceptance for members joining part-way through a season.  Members must not use the courts prior to payment of their membership fee in full and any court use prior to payment may be charged at the applicable guest fee rate. The Club reserves the right to suspend or terminate membership where fees remain unpaid.

You may terminate your membership at any point by emailing hillandvalleyltc@gmail.com. If you decide to terminate your membership during the membership year your membership will remain in force until the next renewal period at which point it will automatically terminate. No refunds or partial refund will be provided for termination during the membership year. If you continue to use the courts after the expiry of your paid up membership you will be deemed to have renewed your membership and payment will be due for the next membership year.

Membership is subject to these terms and conditions as well our standard policies and procedures and those of the Lawn Tennis Association (LTA).  Your membership information and payment details will be processed in accordance with the terms and conditions of ClubSpark

The Club reserves the right to suspend or terminate your membership if you behave in a way that breaches the Club’s Code of Conduct or that of the LTA.

SAFEGUARDING

We are an inclusive club and will not tolerate any discrimination, bullying or abusive behaviour at the Club. It is the responsibility of each member to be familiar with and adhere to our current policies which can be found on the website and are listed below:

SAFETY 

Players play at their own risk and have to take responsibility for their own safety. It is the players’ responsibility to decide if the courts are safe and fit for use. The courts drain very well but please be aware that in the case of wet or icy conditions the courts can be slippery and in winter it can take time for frost/ice to clear due to the high hedge and the ice is not always visible.

There is a First Aid Box both inside and outside of the clubhouse. If any items are used please inform a committee member so they can be replenished. There is a defibrillator at the village hall entrance.

If an injury or accident occurs, please complete an accident report form which can be found at the back of the green safeguarding folder in the clubhouse and please inform our Welfare Office, Graham Stock (grahamstock@aol.com), or any other committee member immediately. 

SECURITY

The Club is not liable for loss, theft, or damage to personal belongings. Members with keys must lock up all securely (doors, windows, gate).  Please do not share clubhouse keys or court access / security codes with non-members.  Misuse of these can result in membership cancellation.

COURTS AND CLUBHOUSE

All members are responsible for looking after the courts and clubhouse. In order to help extend the life of the court surface please clear the leaves and any debris before playing. Brushes are in the clubhouse as well as a leaf blower; please ensure it is put back on charge after use. To help preserve the life of the nets, please raise them after playing using the bungie cords provided. Please ensure the clubhouse is left tidy, any cups used washed up and put away, all rubbish is cleared and empty ball tins are taken away with you. No food or food waste should be left in the clubhouse. Please make sure the clubhouse is locked and the gate is firmly closed when you leave. If you notice anything damaged or out of place please let a committee member know or email hillandvalleyltc@gmail.com.

COURT BOOKING

Please follow the court booking rules click HERE. Please ensure that if you don’t need your court, you cancel it as soon as possible by going to your bookings on the website or on the Booker App. Courts unclaimed 10 minutes after the booking time can be used by other players. 

GUESTS

You are welcome to invite friends to play up to three times a year. Out of respect for the fully paid up membership there is a small charge of £5 per adult over 18 and £2.50 for children under 18. Please pay before playing by clicking HERE or via the QR code at the clubhouse.

DRESS

Please wear non-marking tennis shoes and ensure they are clean before entering the courts. During the winter months and after wet weather please wear alternative footwear when crossing the grass of the playing field.

FLOODLIGHTS

The control boxes for the floodlights are located inside the clubhouse. If you do not have a key for the clubhouse please contact Caroline Baker carolinebaker75@gmail.com or 07733 322176, a £6 deposit is required. Please ensure the clubhouse is locked afterwards. Floodlights tokens cost £4.00 for 1 hour (+10mins). You can pay for the tokens and a key online HERE. They are then available from:
