Baseline Edge Ltd – Online Safety and Communication Policy Version 1.0 – October 2025
Baseline Edge Ltd provides tennis coaching services at Victory Park, Addlestone and other approved venues. We are committed to safeguarding all children (anyone under 18) and adults at risk who participate in our programmes. This policy outlines how we use the internet, social media, and digital communication safely and appropriately in line with LTA guidance.
Purpose and Scope
This policy applies to all staff, coaches, volunteers, players, parents/carers, and anyone associated with Baseline Edge Ltd. It sets out clear expectations for online conduct and communication to ensure a safe and positive environment for everyone.
Our Commitments
Baseline Edge Ltd will seek to keep children and participants safe by:
- Ensuring all online communication is professional, transparent, and in line with safeguarding standards.
- Monitoring our official social media accounts and keeping them password-protected with at least two authorised administrators.
- Avoiding posting personal details (addresses, school information, or contact numbers) on public platforms.
- Seeking parental consent before sharing any photographs or videos online.
- Ensuring that any content shared reflects a positive and respectful image of participants and the organisation.
Managing Our Online Presence
- All Baseline Edge Ltd social media accounts are used solely for business and promotional purposes.
- Accounts will be password-protected and managed by authorised staff members.
- Any inappropriate or harmful comments will be removed, and the Head Coach will be informed.
- Children and parents will be informed about who manages our social media accounts and who to contact with concerns.
- Posts will never include identifying details beyond a first name, unless additional consent has been given.
Expectations for Staff, Coaches and Volunteers
- Communicate with children only through approved organisational accounts or in writing (not personal social media).
- Copy parents or another staff member into any digital communication with children.
- Avoid private or one-to-one online communication unless necessary for logistical or safeguarding reasons.
- Never ‘friend’ or ‘follow’ children from personal accounts.
- Respond professionally and promptly to any concerns reported through online channels.
Expectations for Children and Parents
Children and parents/carers should:
- Use online platforms responsibly and respectfully.
- Not share images or videos of other participants without consent.
- Report any inappropriate communication or content to the Head Coach immediately.
- Understand that communication from Baseline Edge Ltd will always be professional and for tennis-related purposes only.
Video Conferencing and Digital Coaching
- Online coaching sessions (where used) will be conducted on secure, password-protected platforms.
- Parents will be informed of any online session arrangements and are encouraged to supervise participation.
- Coaches will maintain professional standards of dress, language, and behaviour during online sessions.
- One-to-one online sessions will only take place with prior written parental consent and another staff member’s awareness.
Use of Mobile Phones and Devices
- Coaches and volunteers will avoid unnecessary use of phones during sessions.
- Messages to children (e.g. cancellations, reminders) will include parents or another coach.
- Parents will be provided with appropriate contact details for emergencies.
- Explain to children how using mobile phones during activities has an impact on their safe awareness of their environment, and their level of participation and achievement.
Reporting and Responding to Concerns
Any concerns about inappropriate online behaviour or communication should be reported to: Head Coach at Baseline Edge Ltd via email on baselineedgeltd@gmail.com

Reports will be handled in line with Baseline Edge Ltd’s Safeguarding Policy and may be referred to the LTA Safeguarding Team or statutory authorities if necessary.

Policy Review
