Job description for committee role – Treasurer
The purpose of this role is to be responsible for the club’s financial affairs.
Introduction
The main source of income in recent years has come from membership subscriptions with other sources including court bookings, floodlights, visitor fees, recycled tennis balls and grants/loans (where available) for any projects. The main expenditure has been for the use and maintenance of the tennis courts and equipment, with other expenditure including LTA registration, coaching and general administration.
Most of the income is received via our Clubspark website. Therefore, much of the income information required for the accounts and to monitor progress throughout the year can be obtained through the website functionality.
The financial year runs from January to December. Accounts are required annually to be presented to members at the AGM, usually held in February.
Responsibilities
- oversee and manage the club’s financial affairs including being responsible for the club’s bank accounts and managing cashflows
- keep accurate and up to date records of income and expenditure
- prepare the club’s annual accounts for presentation at the club’s AGM
- provide recommendations to the committee for membership subscription rates for initial agreement at the pre-AGM committee meeting and ratification at the AGM
- collect monies due and pay invoices in a timely manner
- provide regular financial updates for each committee meeting in writing and in advance so committee members can consider any questions
- liaise with the website manager to understand the financial information available through Clubspark
- although most membership subscriptions are received via the website, some members will pay via other methods. For any such members, liaise with the membership secretary (and where required the website manager) to ensure all members (and income received) are listed on the website
